Non-Exempt Purpose and Scope The Development Coordinator will report to the Director of Development and will work in a team setting to provide detailed administrative support to the individuals in the development/marketing department. The ideal candidate will have experience working in an office setting in an administrative capacity with the ability to work well with all levels of internal management staff, as well as outside donors, partners, clients, and vendors. The Development Coordinator will have the ability to work independently on projects, and confidential matters with discretion. You shall exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. Job Responsibilities- Maintains calendar and appointments for the Development Department.
- Communicates directly, and on behalf of the Development Department, with callers, donors, staff, and others, on matters related to KS and the Development Department's programmatic initiatives.
- Drafts, edits, and proofreads communications on behalf of the Development Department.
- Manages constant contact mailing list and Kids Smiles website updates
- Generate various reports, data entry, maintains files, answers calls/take messages
- Enters and update information in Donor Perfect
- Assists with donor mailings
- Manages RSVP registrations and event logistics for development events (e.g., golf outings, board events, donor engagements)
- Assist with event planning, vendor coordination, materials preparation, and on-site support for all development-related events.
- Proofread grant applications and reports to ensure accuracy, consistency, and adherence to submission guidelines.
- Track grant deadlines and reporting requirements, ensuring timely submissions.
- Attend weekly Development Department meetings with leadership; record detailed meeting minutes and track action items.
- Monitor progress on assigned tasks and follow up to ensure timely completion.
- Support communication and marketing efforts related to press, partnerships, and community engagement opportunities
- Support efforts related to corporate volunteer opportunities and prospective community and strategic partners.
- Manage purchasing of supplies for the Development Department. Required Experiences and Skills
- Associates or Bachelors Degree with 5+ years of experience in non-profit development and fundraising events and progressive hands on administrative experience
- Experience in non-profit development and fundraising events
- Proficiency in Microsoft office (Word, Excel, PowerPoint).
- Proficiency in utilizing and learning social media platforms, new technology, and software applications.
- Sensitivity to and appropriate handling of confidential information;
- Able to prioritize and execute tasks with minimal direction while demonstrating leadership
- Extremely organized, detail-oriented individual.
- Excellent verbal and written communication skills.
