Bandai Namco Amusement America, a leader in the arcade, amusement, and entertainment industry for over 40 years, is looking for a determined individual for a unique to join our team as a Junior Events Coordinator onsite in Itasca, IL. Travel is roughly 60% of the job.
Job Overview:
The Junior Events Coordinator is responsible for supporting the planning, execution, and successful operation of Bandai Namco Amusement America events, convention activations, pop-up stores, retail initiatives, and store openings. This role assists in all aspects of event operations, including logistics, inventory management, staff coordination, vendor communication, and operational reporting. The Junior Events Coordinator serves as an ambassador of the Bandai Namco brand and is expected to demonstrate professionalism, accountability, and collaboration in all interactions. This position requires strong organizational skills, attention to detail, sound judgment, and the ability to effectively communicate with internal teams, vendors, partners, and customers in fast-paced event environments. Essential Duties and Responsibilities Assist in the planning, preparation, execution, and teardown of conventions, trade shows, pop-up locations, store openings, and other company events while ensuring compliance with operational standards and brand expectations. Train, guide, and support event staff and temporary personnel by providing clear direction, assigning tasks, monitoring performance, and fostering a collaborative and professional work environment. Manage, track, and safeguard company assets, including merchandise, displays, equipment, promotional materials, cash handling, and Gashapon machines to ensure accountability and operational readiness. Coordinate shipping, transportation, product allocation, warehouse activities, event setup schedules, and operational requirements to ensure successful event execution. Maintain effective working relationships with vendors, contractors, venue personnel, and business partners while communicating operational requirements and resolving event-related issues. Maintain accurate records, event documentation, inventory reports, operational updates, and ensure adherence to company policies, procedures, approval processes, and safety standards. Monitor inventory movement and sales activity at activations, assist with sales reporting, analyze operational performance, and support revenue-generating event activities. Identify operational challenges, recommend process improvements, escalate concerns appropriately, and contribute to the ongoing development of event procedures and best practices. Minimum Qualfications:
Associate degree or equivalent work experience in Event Management, Business Administration, Marketing, Retail Operations, Hospitality, or a related field preferred. Minimum of 2 years of experience in event operations, retail operations, experiential marketing, trade shows, conventions, logistics, or related environments. Experience coordinating events, supervising staff, or managing operational projects preferred. Strong customer service background Ability to travel 60% of the time to work conventions, events, and activations.
Preferred Qualifications:
Experience coordinating large-scale events, pop-up activations, store openings, or convention-based operations. Experience managing event logistics, inventory control, shipping, and warehouse coordination. Experience working directly with vendors, venues, contractors, and external business partners. Experience handling cash management, sales reporting, and retail operations is a plus. Previous experience in a fast-paced role within a small company Familiarity with Bandai Namco and partnered Japanese IP brands. Proficiency in Microsoft Office 365, including Excel, Word, Outlook, PowerPoint, Teams, and SharePoint. Experience with inventory management systems, POS systems, or event management software preferred. Demonstrated professionalism, accountability, and sound judgment. Ability to effectively manage multiple priorities and deadlines simultaneously. Strong problem-solving and conflict-resolution abilities. Ability to work independently while collaborating effectively with cross-functional teams. Japanese language proficiency is a plus
