Join the Team at Escondido Golf & Lake Club! Where Luxury Meets Legacy Escondido Golf & Lake Club is a private luxury retreat nestled in the heart of the Texas Hill Country, gracing the tranquil shores of Lake LBJ. With Tuscan-inspired architecture, breathtaking views, and a culture rooted in warmth and excellence, Escondido is more than a destination—it's a way of life. We're looking for an Events Coordinator who makes those moments feel effortless.
ABOUT THE ROLE
As part of our Events & Communications team, you'll guide private events from the first inquiry to the final farewell. You'll be the host's trusted partner, the author of every Banquet Event Order, and the steady hand keeping Culinary, Service, Golf, and Facilities moving in step. This role is designed as a true pathway to Events Manager.
WHAT YOUR DAYS WILL LOOK LIKE
Creating the Experience ◆ Coordinate a portfolio of private events, including weddings, rehearsal dinners, milestone celebrations, corporate outings, and member gatherings ◆ Be the single point of contact for hosts, guiding them through a personalized planning journey ◆ Lead site tours and planning meetings that inspire hosts and turn inquiries into bookings ◆ Prepare proposals and contracts, and track deposits, final guarantees, and billing with Accounting ◆ Serve as on-site lead on event day, ensuring seamless service and a gracious farewell ◆ Support signature member experiences like wine dinners, chef's tables, and lakeside gatherings Owning the Details ◆ Write and maintain BEOs that capture every menu, timeline, setup, and service detail ◆ Present your events at the weekly BEO meeting and keep every department aligned on changes ◆ Build timelines, floor plans, and layouts for each venue and event style ◆ Coordinate vendors, including florists, rentals, entertainment, photographers, and planners ◆ Partner with our Executive Chef on menus, tastings, and custom menu cards ◆ Keep the event calendar, venue holds, and booking records accurate in our club software Growing the Business ◆ Respond to event inquiries within one business day and follow each lead through to booking ◆ Thoughtfully present menus, enhancements, and dates that support revenue goals ◆ Build host relationships that lead to repeat bookings and referrals ◆ Create event menus, signage, place cards, and collateral that reflect Escondido's refined style
WHAT YOU BRING
◆ 2-3+ years coordinating private events, weddings, or banquets in a private club, luxury hotel, resort, or similar high-touch setting ◆ Hands-on experience writing BEOs and a strong understanding of food & beverage service flow ◆ Comfort with contracts, deposits, billing, and pricing conversations with hosts ◆ Exceptional organization and the ability to juggle multiple events gracefully ◆ Polished, warm communication, both written and in person ◆ A calm, composed presence when things move fast ◆ Proficiency with club/hospitality software, Google Workspace, Microsoft Office, Adobe Acrobat Pro, and Canva (diagramming tools a plus) ◆ A genuine love for people and for crafting unforgettable experiences
WHERE THIS ROLE CAN TAKE YOU
This position is built as a pathway to Events Manager. As you master event execution, BEOs, and host relationships, your role will grow to include pricing and contract decisions, leading the weekly BEO meeting, owning private event revenue goals, and setting team standards, with advancement in title and compensation to match.
