Purpose of Position Provides advanced legal administrative support to The University of Texas System Office of General Counsel attorneys responsible for advising and representing UT System institutions and UT System Administration on matters involving the Texas Public Information Act (TPIA) and related open government issues. Coordinates complex administrative and legal support activities, manages information and records associated with public information requests, and serves as a key liaison among attorneys, departmental offices, institutions, requestors, and the Office of Attorney General. Essential Functions Coordinates and manages administrative support for UT System attorneys specializing in Texas Public Information Act matters. Assists with intake, tracking, monitoring, and organization of public information requests and statutory deadlines. Maintains tracking systems and databases for TPIA requests, Attorney General ruling requests, and related correspondence, including rulings. Communicates with System representatives, institutional representatives, records custodians, third parties, and attorneys to facilitate collection and review of responsive records. Prepares, formats, proofreads, and distributes correspondence, legal briefs, Attorney General ruling requests, and related legal documents. Assists in compiling, organizing, and transmitting responsive records and supporting documentation. Maintains confidential and sensitive records in accordance with applicable laws and office procedures. Coordinates, tracks, monitors, and oversees special projects or assignments related to open records compliance and records management. Knowledge, Skills & Abilities Knowledge of standard office practices, legal administrative procedures, records management principles, and document management systems. Skill in Microsoft Office applications, Adobe Acrobat, customer service, organization, and verbal and written communication. Ability to manage multiple deadlines, maintain confidentiality, analyze and organize large volumes of records, use standard office equipment, and work independently with sound judgment.
Required Qualifications Education:
High school diploma or GED. Prefer specialized training in legal administration, records management, business administration, or a related field.
Experience:
Seven years of progressively responsible legal administrative experience, preferably supporting public-sector, compliance, public records, litigation, or governmental legal functions. Preferred Qualifications Experience supporting attorneys whose practice includes the Texas Public Information Act (Tex. Gov't Code Chapter 552). Experience processing, tracking, or coordinating responses to public information requests. Familiarity with Texas Attorney General public information ruling procedures and deadlines. Experience with records management, document review, e-discovery, or litigation support and redaction tools. Experience working in governmental, higher education, or public-sector legal environments. Bachelor's degree. Paralegal certificate or associate degree in a related field. Working Conditions May work around standard office conditions Repetitive use of a keyboard at a workstation Lifting and moving objects Uses standard office equipment Hybrid work environment (remote & office) Additional Information The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to a minimum of 20 hours per week and at least 135 days in length. Participation in TRS is mandatory. A background check will be conducted on candidates under final consideration.
