Job Description
Overview We are seeking a dynamic and organized Office Administrative Assistant with a focus on construction-related operations to join our team. This role is vital in ensuring the smooth and efficient functioning of our office environment, supporting project coordination, managing administrative tasks, and providing exceptional customer service. The ideal candidate will bring energy, attention to detail, and a proactive approach to their work, helping us maintain high standards of office management and client support. Responsibilities Manage front desk operations, including greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems to handle incoming calls efficiently and courteously Maintain accurate records through data entry, filing, and document proofreading to ensure organizational clarity Oversee office management tasks such as supply inventory, calendar management, and scheduling appointments for project teams Support bookkeeping activities for invoicing, expense tracking, and financial record keeping Assist with clerical duties including photocopying, scanning, and preparing reports using Microsoft Office and Google Workspace tools Provide customer support by addressing inquiries promptly and professionally via phone or email Qualifications Proven office experience with strong organizational skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Experience with QuickBooks or similar bookkeeping software is highly desirable Bilingual abilities are a plus to effectively communicate with diverse clients and team members Excellent typing skills combined with strong time management capabilities Knowledge of office management procedures including filing systems and calendar coordination Prior clerical or administrative experience in a construction or related industry is preferred Demonstrated professionalism in phone etiquette and customer service interactions Join us as an Office Administrative Assistant - Construction to play a key role in supporting our project teams while delivering outstanding service to clients.
