Job Description

ABOUT THE ROLE
We are seeking a highly organized, discreet, and proactive Part-Time House Manager to oversee the day-to-day operations of a private residential estate in the Napa Valley. This is a unique opportunity to work within a well-established private household, supporting the seamless operation of two beautiful properties along the Silverado Trail. The ideal candidate brings genuine pride to maintaining a home at the highest standard, exercises sound judgment independently, and understands the trust and confidentiality that private household service demands. You will serve as the primary on-site point of contact, coordinating with a dedicated management team to ensure everything runs smoothly. POC. KEY RESPONSIBILITIES
Weekly Property Maintenance Conduct thorough weekly walkthroughs of both the Main House and Guest House Run all faucets, showers, tubs, and exterior spigots to maintain plumbing health Test all TVs, audio/visual systems, and remote controls for proper function Verify WiFi and smart home systems — inspect all access points and connectivity Inspect under sinks, around toilets, and at all water fixtures for leaks Check electrical outlets throughout both properties Replace burnt-out interior and exterior light bulbs Forward mail to designated recipients Perform general interior and exterior walkthroughs including grounds, entryways, HVAC vents, doors, and windows Issue Identification & Reporting Proactively identify and document maintenance issues with photos where applicable Monitor for water leaks, HVAC irregularities, damaged fixtures, pest activity, and structural concerns Assess urgency and report all findings to management before taking action Maintain a detailed maintenance log with issue status and resolution tracking Vendor & Subcontractor Coordination Schedule and confirm all subcontractor and service vendor appointments Meet vendors on-site at both properties and supervise work in progress Obtain quotes and submit to management for approval prior to authorizing work Maintain a subcontractor visit log including work performed, dates, and costs Follow up on incomplete work and warranty issues Household Operations & Administration Manage household inventory and reorder supplies for both properties Run errands and handle miscellaneous tasks as directed Oversee deliveries and maintain property security during scheduled visits Coordinate seasonal maintenance tasks — filter changes, exterior cleaning, etc. Prepare and submit a weekly condition report and monthly expense summary with receipts
IDEAL CANDIDATE
5+ years of experience in private household management, estate management, or a closely related role Exceptional attention to detail with a proactive, self-directed work style Strong communication skills — reliable, responsive, and professional at all times Experienced working within high-profile or high-net-worth households; understands the importance of discretion Comfortable working independently and managing multiple priorities across two properties Proficient in basic home systems: plumbing, electrical, HVAC, WiFi/smart home technology Able to vet, coordinate, and supervise subcontractors and service vendors Valid California driver's license and reliable personal vehicle Flexible availability for occasional urgent matters outside scheduled hours
COMPENSATION & BENEFITS
Competitive hourly rate — commensurate with experience Mileage reimbursement at the current IRS rate ($0.725/mile) for approved property-related travel Pre-approved household expenses reimbursed within 5 business days Weekly pay Performance review after initial 3-month term and annually thereafter Initial 3-month contract with renewal by mutual agreement
