Job Description
GOAT Garage Doors is a rapidly growing Utah garage door company, and we're looking for an exceptional Executive Assistant / Office Manager to work directly alongside the owner and help us build the systems, organization, and infrastructure needed for our next stage of growth. This is not a traditional administrative assistant position . We need someone who can walk into a fast-moving environment, figure things out, organize chaos, solve problems before they're handed to them, and help turn ideas into repeatable systems. We're building multiple sides of the business at the same time—including residential service, new construction, production builders, custom builders, wholesale/partners, and commercial opportunities. The right person will become a key part of keeping all of those moving pieces organized. What You'll Be Responsible For You'll work directly with the owner and leadership team across day-to-day administration, accounting support, operations, communication, and special projects.
Responsibilities will include:
Supporting the owner with priorities, follow-ups, scheduling, communication, and organization Helping manage QuickBooks Online , including invoices, payments, deposits, reconciliation support, vendor transactions, and financial organization Working between QuickBooks and ServiceTitan to help ensure jobs, invoices, payments, and deposits are accurate Helping maintain and improve ServiceTitan workflows and office processes Organizing company files, documents, contracts, purchase orders, vendor information, insurance certificates, W-9s, and customer records Tracking open items and making sure things actually get completed Coordinating with technicians, installers, warehouse personnel, salespeople, builders, vendors, and customers Assisting with builder accounts, proposals, deposits, scheduling, material orders, and job documentation Helping document and build SOPs, checklists, workflows, and company systems Supporting hiring, onboarding, employee documentation, uniforms, training materials, and internal communication Assisting with purchasing, inventory coordination, vendor issues, and warranty documentation when needed Helping organize meetings, agendas, action items, and accountability Coordinating with outside marketing, accounting, banking, insurance, and other business partners Helping manage special projects as GOAT continues to expand Seeing problems, taking ownership, and helping solve them without waiting to be told every individual step Who We're Looking For The ideal person is extremely organized, resourceful, creative, confident, and comfortable juggling a lot of moving pieces at once. You should be the type of person who sees ten things happening at once and naturally starts organizing them. We're specifically looking for someone who: Has previous office management, executive assistant, operations, or administrative leadership experience Has solid experience with QuickBooks Online Has experience working for a trade or home-service business Garage-door industry experience would be a major plus HVAC, plumbing, electrical, roofing, construction, restoration, landscaping, or similar trade experience is also highly valuable Understands job costing, invoices, customer payments, purchase orders, vendors, technicians, scheduling, and field operations Is highly proficient with computers and learns new software quickly Can manage multiple projects without losing details Communicates professionally with customers, builders, vendors, employees, and executives Is comfortable making decisions and taking initiative Can create systems instead of simply following existing ones Has excellent written communication and attention to detail Can handle confidential financial and business information professionally Doesn't need constant supervision Is willing to jump between strategic projects and small details when necessary Experience with ServiceTitan, QuickBooks Online, CRM systems, Google Workspace/Microsoft Office, Buildertrend, or similar construction/service software is especially valuable. This Role Is Probably NOT for You If... You need every task clearly defined before beginning. You struggle when priorities change. You prefer doing one repetitive job all day. You wait for someone to tell you what needs to happen next. GOAT is growing quickly. There will be days when the owner walks in with five new ideas, a builder needs something immediately, accounting needs to be reconciled, a technician has an issue, and a vendor needs an answer. We need someone who can calmly say: "I've got it." Then organize it and make it happen. Why GOAT Garage Doors? We're not looking to build another small garage door company. For the right person, this can grow into a significant leadership position as GOAT expands. What Success Looks Like Within your first several months, the owner should have fewer things living in his head. Projects have owners. Deadlines are tracked. Accounting is cleaner. Follow-ups happen. Documents can be found. Meetings produce action. Processes are documented. Employees know where to go for answers. And fewer important things fall through the cracks.
