Job Summary:
The Clinical Operations Specialist serves as a key operational partner to the Clinical Operations team, providing administrative, scheduling, data management, and project coordination support. This role is responsible for ensuring the efficient execution of clinical operations through strong organization, effective communication, and proactive problem solving. The Clinical Operations Specialist will work closely with physician leaders, clinical staff, administrators, and executive leadership to coordinate provider scheduling, support recruitment efforts, manage operational reporting, facilitate meeting activities, and assist with clinical review processes. The ideal candidate is highly organized, detail-oriented, comfortable working with data, and possesses exceptional written and verbal communication skills.
Key Responsibilities:
Administrative & Operational Support Provide administrative support to the Clinical Operations team, including calendar management, meeting coordination, and scheduling. Organize and facilitate internal and external meetings, ensuring appropriate attendance, materials, and follow-up actions. Record meeting minutes, track action items, and monitor completion of assigned tasks. Scheduling & Workforce Coordination Coordinate the development and maintenance of quarterly provider and care team schedules. Collect provider availability and scheduling preferences from multiple stakeholders. Compile, organize, and maintain scheduling data utilizing Excel and other operational tools. Communicate scheduling updates, changes, and coverage needs to appropriate teams. Identify scheduling conflicts and proactively assist with resolution efforts. Recruitment & Provider Support Coordinate interview scheduling for provider candidates and key clinical positions. Facilitate communication between candidates, hiring managers, physician leaders, and recruiters. Manage reference check requests and supporting hiring documentation. Data Management & Reporting Collect, organize, validate, and maintain operational and clinical performance data. Compile monthly reports and summaries for operational and leadership review. Support the creation of data visualizations for leadership presentations. Conduct preliminary review of operational data to identify trends, inconsistencies, or opportunities that warrant further investigation. Maintain data integrity and ensure accuracy of reports and documentation. Clinical Review Coordination Coordinate documentation and correspondence related to clinical and quality review activities. Obtain and organize medical records, charts, and supporting documentation for review purposes. Track requests and maintain appropriate documentation related to review processes. Compile findings, summaries, and supporting materials for leadership and clinical stakeholders. Ensure all activities are completed in accordance with privacy, confidentiality, and organizational requirements. Continuous Improvement Support special projects and operational initiatives across the Clinical Operations department. Assist with process improvement efforts aimed at increasing efficiency and effectiveness. Participate in the development and maintenance of operational workflows, tools, and documentation. Take on additional responsibilities aligned with organizational needs and individual professional development goals.
Qualifications:
Associate or Bachelor's degree in Healthcare Administration, Business Administration, Public Health, Communications, or a related field required. Minimum of 2 years of experience in a healthcare operations, administrative support, project coordination, or a related field preferred. Exceptional organizational skills with strong attention to detail. Excellent written and verbal communication skills. Ability to communicate professionally and effectively with physicians, clinical staff, administrators, and executive leadership. Experience managing schedules, coordinating meetings, and maintaining documentation. Strong analytical and problem-solving skills with the ability to organize data and create data visualizations.
