Job Summary We are seeking a proactive and highly organized Scheduler to join our dynamic team. In this vital role, you will coordinate and manage appointment schedules, ensure smooth communication between clients and staff, and support overall office operations. Your expertise in calendar management, data entry, and customer service will help optimize daily workflows and enhance client satisfaction. Responsibilities Develop, maintain, and update detailed schedules for appointments, meetings, and events using productivity software. Manage multi-line phone systems to handle inquiries, direct calls appropriately, and provide excellent customer support. Coordinate with team members and clients to confirm appointments, reschedule as needed, and ensure timely communication. Utilize office management tools such as Microsoft Office Suite (Word, Excel) and spreadsheets for data entry, record keeping, and reporting. Perform clerical tasks including filing, proofreading documents, and managing correspondence to support daily operations. Handle front desk duties by greeting visitors, answering phone calls with professional etiquette, and providing exceptional customer service. Maintain organized files and records while ensuring accuracy in scheduling details and client information. Qualifications Proven experience in office management or administrative roles with strong organizational skills. Proficiency in Microsoft Office applications including Word, Excel, and Outlook; familiarity with productivity software is essential. Experience with QuickBooks or similar accounting software is a plus. Excellent communication skills in both verbal and written forms; bilingual abilities are highly valued. Strong computer literacy with the ability to navigate multi-line phone systems, spreadsheets, and data entry tasks efficiently. Demonstrated ability to prioritize tasks effectively while managing time in a fast-paced environment. Previous experience in customer service or front desk roles that involve phone communication and client interaction. Pay:
$26.08 - $31.41 per hour
