Payroll Assistant:
This role requires a working knowledge of California payroll and employment laws and the ability to apply them in daily payroll processing. The position handles sensitive information and must maintain strict confidentiality. Candidates must be detail-oriented and able to manage multiple tasks in a fast-paced, high-volume construction environment, while meeting state and federal reporting deadlines.
Duties and Responsibilities:
  • Process full-cycle, in-house payroll on a weekly basis and maintain Payroll records and employee earnings history.
  • Help ensure compliance with employment and labor laws.
  • Review and audit, employee time entries in the time tracking system to ensure accuracy of hours worked, job coding, and compliance with company policies.
  • Resolve discrepancies and manage data flow between the time tracking system and payroll, including corrections, and coordination with supervisors for time sheet approvals.
  • Respond to employee payroll inquiries (hours, paychecks, deductions, PTO balances) timely and resolve payroll discrepancies and issues promptly.
  • Assist in maintaining employee database for new hires, terminations, and all other changes.
  • Conduct new hire orientations and maintain the required documentation in the new hire documentation package.
  • Assist in the maintenance of all employee benefits, including 401k administration.
  • Help support the HR and Payroll Supervisors to compile and report all census data as required and on time, such as but not limited to, EEO-1, CA Pay Data Report, etc.
  • Help support and assist the HR and Payroll Supervisors in the administration of quarterly and annual reporting, including payroll tax returns, Forms W-2 and the ACA reporting process, etc.
  • Help support the HR and Payroll Supervisors, Controller and Assistant Controller in the 401k annual audit.

                Identifies issues, evaluates options, and implements timely solutions.
                Education and Experience Requirements:

                Benefits After Continuous Employment:
                • Medical insurance after 90 days (70% of employee's premium is paid by Western).
                • Paid Holidays for office closures after 90 days.

                • 401(k) participation after 6 months of employment and over the age of 21.
