Job Description
Job Description Overview Auburn University's Office of Communications and Marketing is seeking qualified candidates for the position of Executive Assistant/Business Manager . This position provides business, financial and administrative leadership for the Office of Communications and Marketing by overseeing departmental operations, budget administration, procurement, human resources coordination and executive support. Reporting to the Vice President for Public Affairs, Communications and Marketing, this position serves as the primary liaison with university administrative offices to ensure efficient, compliant and effective operations. Exercises independent judgment to improve business processes, manage complex priorities and support the Vice President in achieving division goals. Responsibilities
- Oversees the business and administrative operations of the Office of Communications and Marketing, ensuring efficient, compliant and effective departmental operations.
- Administers the department's financial operations, including budget management, purchasing, procurement, contracts, vendor relationships, travel, software licensing and financial reporting.
- Oversees departmental personnel administration, including onboarding, payroll coordination, position management and student employment, while serving as the primary liaison with Human Resources.
- Advises the Vice President on departmental operations, administrative planning, resource management and business processes, exercising independent judgment to recommend operational improvements and support division priorities.
- Provides executive support to the Vice President and the Office of Communications and Marketing leadership team by managing complex calendars, coordinating meetings involving multiple stakeholders, preparing briefing materials, reports and executive correspondence, coordinating travel and tracking follow-up on strategic initiatives.
- Develops, implements and continuously improves administrative workflows, standard operating procedures and business processes to improve efficiency, accountability and service.
- Oversees departmental resources, including technology, software licenses, photography and video equipment, office assets, conference spaces and facilities coordination to ensure effective resource management.
- Serves as the department's primary administrative liaison with Human Resources, Procurement, Budget Services, Information Technology, Facilities Management and other university administrative units to facilitate departmental operations.
- Coordinates departmental meetings, prepares agendas and supporting materials, tracks action items and develops reports that support executive decision-making.
- Provides guidance to department leadership and staff regarding university policies, administrative procedures, financial processes and human resources practices while independently resolving operational issues.
- Performs other related duties as assigned.
