Job Description

About the Role We are seeking an experienced and highly detail-oriented Bookkeeper to manage the financial records and reporting for a private family trust. This is an ideal opportunity for a seasoned bookkeeping professional seeking flexible, low-hour monthly work with a high degree of independence and responsibility. The ideal candidate will have advanced QuickBooks expertise, experience with reconciliations and trust accounting, and the professionalism to handle sensitive financial information with complete discretion. Responsibilities Trust Accounting Maintain and balance the general ledger for trust entities Ensure bookkeeping entries comply with trust accounting and fiduciary standards Reconciliations Perform monthly reconciliations across QuickBooks, bank accounts, and credit card statements Investigate and resolve discrepancies promptly Bill Pay & Disbursements Process approximately five checks per month Manage credit card auto-payments and expense tracking Properly categorize all transactions and maintain accurate records Tax Support Prepare and file quarterly tax payments for the trust Coordinate with CPA or tax professionals as needed Financial Reporting Generate monthly and quarterly financial statements, including: Profit & Loss statements Balance Sheets Cash summaries, as requested Document Management Maintain organized digital files of receipts, invoices, statements, and tax records Ensure records remain secure and audit-ready Qualifications 3-5+ years of bookkeeping experience Advanced proficiency in QuickBooks Online or Desktop Experience with trust, estate, or family office accounting preferred Strong understanding of reconciliations and financial reporting Familiarity with quarterly tax filings Exceptional attention to detail and organizational skills High level of integrity and discretion handling confidential financial information Ability to work independently and reliably Preferred Intuit ProAdvisor certification Prior experience supporting high-net-worth families, trusts, or private entities Local to Los Altos, Palo Alto, Mountain View, Cupertino, or surrounding areas
