This is a hands-on leadership position overseeing 11 onsite employees , including paralegals and administrative staff, and working closely with the firm's Partners. The ideal candidate is a diplomatic, trustworthy, proactive, and independent leader who builds strong relationships, communicates clearly, sets expectations, and holds employees accountable—without micromanaging. This is an opportunity for a capable manager to take ownership of the firm's internal operations, build effective systems, develop employees, improve productivity, and work directly with firm leadership on continued growth and success. Key Responsibilities Lead, mentor, and manage a team of 11 employees. Establish productivity standards, KPIs, and performance metrics;monitor results and hold employees accountable. Monitor workloads, case loads, deadlines, backlogs, and bottlenecks;redistribute work or coordinate outsourcing as needed. Provide owners with regular, candid reporting on productivity, financials, and overall office performance. Oversee bookkeeping, banking, invoicing, trust accounts, bill payment, and coordination with the firm's accountant. Oversee client reporting and establish consistent client intake and maintenance processes. Manage recruiting, interviewing, hiring, onboarding, performance management, and, when necessary, termination. Develop and maintain efficient workflows, policies, procedures, and documentation. Lead brief, productive staff meetings and coordinate regular training and professional development. Develop a transparent firmwide calendaring system, including staff schedules, work hours, PTO, and work-from-home oversight. Manage vendors, vendor renewals, office supplies, insurance, and routine IT/password administration. Participate with ownership in strategic growth planning and operational improvements. Help maintain a positive, professional, and comfortable workplace culture while fostering accountability and strong employee relationships.
What We're Looking For:
Proven management experience overseeing a team. Excellent communication and relationship-management skills. High integrity, discretion, and trustworthiness. Strong organizational and problem-solving abilities. Proactive, independent approach with sound judgment. Ability to set goals, lead meetings, mentor employees, and manage performance without micromanaging. Experience with Microsoft Office, Outlook, QuickBooks, or CollectMax is helpful but not required.
