Job Description:
The Grain Craft and Central Milling Administrative Assistant, located in Richmond, UT, will be responsible for completing office tasks and supporting operations of the plant, and report directly to the director of operations. This will include answering all phone calls and sorting both physical and e-mail. The Administrative Assistant needs to be personable and deliver excellent customer service to customers and internal stakeholders. Process and maintain employee documentation for Human Resources and employee records. This position may include administrative and accounting tasks alongside typical office management duties. Administrative Assistant will support each department and may occasionally be asked to help at another Central Milling location (all within less than 30 minutes of each other).
Essential Duties and Responsibilities:
Responsible for receiving all phone calls and recording any messages
Manage incoming and outgoing e-mail, mail (FedEx, UPS, etc.), packages, and correspondence
Run front desk (welcoming visitors, managing parking, sign-in book, retail sales, etc.)
Schedule candidates for new hire physical exams and communicate results
Assemble and process documentation for new hire employees' orientation
Audit and approve weekly hourly employees' timesheets
Assist fellow team members with information regarding benefits
Maintains office supplies inventory by checking stock to determine inventory level, anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies
Organize and plan social events such as service awards and holiday lunches, as well as planning for lunches during special meetings and training days
Scans and files documents: bills, invoices, shipping/receiving documents, etc.
Enters wheat tickets and bills into NetSuite
Adhere to company policies and procedures while ensuring confidentiality
Contributes to team effort by providing administrative support to staff members and planning of special events
Maintain regular and punctual attendance
Performs other duties as assigned

Other Qualifications:
1-4 years of experience in professional office role/administrative assistant role
High school diploma or equivalent; additional administrative or office management certifications preferred
Must have solid grammar and punctuation skills, including the ability to compose letters and e-mails that are grammatically correct and properly formatted.
Willingness to learn and ask questions
Strong communication and people skills
Experience with NetSuite is a plus
Proactive problem-solving skills
Intermediate competency in Microsoft Office, (MS Word, Excel and Outlook)
General computer competency
Multi-Tasking and Time management skills
Ability to pay strong attention to detail and deadlines/time frames.
Ability to maintain confidentiality.
Able to understand, memorize, and apply written/oral instructions.
Physical Requirements:
Ability to sit, stand, and move around the office for extended periods of time
Occasionally lift or move office supplies weighing up to 20 pounds This position is contingent upon successfully passing Grain Craft and Central Milling's background screening and drug-screening.
