We are looking for an organized and dependable HVAC Installation / Project Coordinator to work with our Project Managers, field personnel and vendors to help keep our commercial installation projects running smoothly. This is an inside office position . The ideal candidate is someone who enjoys staying organized, following up on outstanding items and making sure things don't fall through the cracks. Construction or HVAC experience is preferred, but we are willing to train the right person who has strong organizational skills and experience in a fast-paced office environment. Responsibilities The HVAC Installation / Project Coordinator will assist our Project Managers with the day-to-day coordination and administration of commercial HVAC projects, including: Gather, prepare, submit and track equipment and material submittals Maintain submittal logs and follow up on outstanding approvals Request pricing and availability from vendors Prepare purchase orders and place material and equipment orders Track equipment, material and delivery dates Follow up with vendors regarding lead times and outstanding orders Maintain project files, drawings, specifications and other documentation Assist with daily and weekly scheduling of field personnel Communicate schedule changes and project assignments to field employees Review and enter employee time by project Identify missing or incorrect time entries and follow up for corrections Assist Project Managers with tracking project requirements and outstanding items Upload and maintain documents through GC project-management portals as required Coordinate equipment startup paperwork and warranty information Gather and organize equipment manuals and product information Prepare and submit project O&M manuals and closeout packages Track as-built drawings, warranties, startup reports and other closeout requirements Communicate with vendors, General Contractors, Project Managers and field personnel as needed Help make sure material, documentation and information are available when the field needs them What We're Looking For Strong organizational and follow-up skills Attention to detail Ability to manage multiple projects and priorities at the same time Comfortable communicating by phone and email with vendors, contractors and field employees Working knowledge of Microsoft Outlook, Word and Excel Comfortable learning new software and online construction-management systems Ability to work independently and take ownership of assigned responsibilities Construction, HVAC, mechanical, plumbing or electrical experience is a plus Purchasing or project-coordination experience is a plus Experience with construction submittals, Procore or similar systems is a plus Ability to read construction drawings and specifications is a plus About the Position This position will work closely with our Project Managers and field personnel and will become an important part of keeping projects organized and moving forward. We are looking for someone who will take ownership of the administrative side of our projects — not simply enter information. We want someone who will recognize when a submittal is overdue, an equipment delivery is slipping, paperwork is missing or something needs to be followed up on and help get it resolved. For the right person, there is an opportunity to take on additional project-management responsibilities as they gain experience with our company and the commercial HVAC industry.
Pay:
$27.00 - $32.00 per hour Expected hours: 40.0 per week
