Job Description
Job Overview We are a one-doctor veterinary practice seeking a friendly, organized, and compassionate Veterinary Client Service Representative (CSR) to join our team. This role is ideal for someone with prior veterinary or high-level customer service experience who thrives in a fast-paced, team-oriented environment. You will be the first point of contact for our clients and play a key role in creating a positive experience while supporting the medical team and ensuring smooth daily operations. Candidates with prior veterinary CSR experience or Lead CSR experience are strongly encouraged to apply. Responsibilities Greet clients and patients warmly , ensuring a welcoming and professional front desk experience Answer and manage high-volume phone lines (up to 4 lines), including voicemails, triage appropriately, and schedule appointments efficiently Utilize IDEXX Neo practice management software for scheduling, patient records, invoicing, and communication Use Weave for client communication, including calls, texts, reminders, follow-ups, and voicemail management Monitor and respond to emails, routing messages to the appropriate team members as needed Accurately enter and maintain patient and client records Manage appointment flow and help minimize wait times through effective coordination Communicate clearly with veterinarians and technicians regarding patient flow and client needs Prepare and process prescription refills in coordination with the medical team Provide estimates, process invoices, collect payments, and explain charges to clients Handle sensitive situations with empathy, including urgent visits and end-of-life care discussions Educate clients on general pet care, hospital policies, and follow-up instructions (non-medical guidance) Maintain a clean, organized front desk and lobby area Support team members as needed to ensure smooth clinic operations Requirements Previous customer service experience is required; veterinary clinic experience is strongly preferred Availability to work flexible hours, including Saturdays Strong communication and interpersonal skills Excellent organizational skills and attention to detail Ability to multitask and remain calm under pressure in a fast-paced environment A positive attitude and genuine commitment to client service and animal welfare Compensation & Benefits Compensation is competitive and will be based on experience and qualifications, with additional consideration given to candidates with advanced CSR or leadership experience.
