In-Person, Full-Time 40 hours per week (Monday-Sunday). Work hours are combination of GMI (8 AM-5 PM) and EHA (4 AM-1 PM).

$23/hr

About Connect the Docs Medical Management, LLC (CTD): Connect the Docs Medical Management, LLC (CTD) is a leading healthcare management consulting firm based in Encinitas, CA. We provide specialized programs and services to physician practices and hospital clients across North County San Diego. Position Overview:
As an Administrative Assistant in this hybrid role, you will provide support with data entry, scanning, faxing, processing patient forms, and assisting one of our doctors as a personal assistant. This role requires a high level of attention to detail, organizational ability, and the flexibility to manage diverse tasks. The successful candidate will contribute to the seamless operation of our office.
Key Responsibilities:
Data Entry:
Accurately input and update data in various systems and databases. Regularly verify and correct information to ensure data integrity.
Scanning and Filing:
Scan documents and organize digital files for easy access and retrieval. Maintain both physical and electronic filing systems to ensure documents are categorized and securely stored.
Faxing and Communication:
Send and receive faxes as needed, ensuring timely and accurate transmission. Assist with drafting, reviewing, and sending routine correspondence.
Patient Forms Management:
Process and manage patient forms, including intake forms, consent forms, and other related documentation. Ensure all patient forms are completed accurately and comply with regulations.
Additional Administrative Support:
Provide general administrative assistance, including scheduling appointments, managing office supplies, and handling incoming calls. Assist with various tasks to support office operations and team needs.
Manage Patient Lists and Reports:
Maintain patient lists and generate reports as necessary.
Fax Orders and Release of Information:
Process inpatient and outpatient fax orders and release of information requests.
Office Supply Management:
Assist with office supply management and other administrative duties.
Report Generation:
Run daily reports and prepare End-of-Month (EOM) reports. Personal Assistant to a
Provider:
Provide personal assistance to a designated provider as needed.
Qualifications:
High school diploma or equivalent; additional certification or training in office administration is a plus. Proven experience in an administrative role, ideally with experience in data entry and document management. Experience in a healthcare setting is preferred. At least 2 years of working knowledge of Epic EMR. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (fax machines, scanners). Strong attention to detail and accuracy in data management. Excellent organizational and time-management skills. Ability to handle sensitive information with confidentiality. Strong written and verbal communication skills. Ability to adapt to a dynamic work environment and manage multiple tasks efficiently.
