The Head of Trust Administration focuses on delivering high-quality trust services, maintaining strong risk management practices, and optimizing processes to enhance efficiency and client service.

Responsibilities:

Oversee the administration of trust accounts, ensuring compliance with regulatory requirements, fiduciary standards, and internal policies. Recommends to Supervisor or Committee the acceptance or rejection of potential trust/fiduciary accounts. Reviews trust agreements and meets with business development personnel and outside counsel to support business development. Administer estate, trust, or custody accounts according to the directives in the will, trust document or custody agreement, applicable statues and regulations. Oversees trust administration personnel for compliance with trust documents, trust policies and procedures as well as and the various applicable laws and regulations. Assigns accounts and maintains proper work-load distribution among the trust services staff for proper administration. Drive process improvement and technology enhancements to streamline trust administration and reporting. Prepares and presents quarterly reports on trust administration activities to the respective Trust Committee. Interact with executive management and legal counsel in trust situations when necessary. Responsible for ensuring compliance and adherence to 12 CFR 9 regulations, including fiduciary risk management, account post-acceptance and annual reviews and reporting. Provides guidance on compliance matters and ensures trust policies and procedures align with regulatory expectations. Serves as the primary representative of the trust services department in meetings with internal and external auditors, effectively communicating trust administration practices, policies, and compliance standard. Monitor and respond to audit and regulatory findings, ensuring timely remediation of any issues. Determine frequency and number of payments to beneficiaries and makes recommendations concerning special distributions. Oversee trust account fee billing, ensuring accurate calculation, timely invoicing, and proper revenue collection in accordance with fee schedules. Obtain assets acceptance upon new account set up and obtain information concerning cost basis and necessary transfer documents. Coordinate tax and real estate activities related to Trusts with support staff and outside vendor (i.e. accountants, property management, etc). Determine termination provisions, and upon closing account, properly transfers assets and protects Bank with appropriate receipts and/or releases. Achieve client service goals as established by Executive Management (NPS). Addresses and solves client concerns and queries, ensuring that the process of customer claims resolution is administered within the established parameters of quality and efficiency; reporting those complains to Executive Management. Provide support for regulatory-driven projects. Keeps abreast of current legal and fiduciary services and products within the trust industry. Identifies, evaluates, monitors and makes any recommendation deemed necessary to their respective Committee in order to assess, reduce, eliminate or control any current or prospective risks to earnings arising from violations of, or nonconformance with, laws, rules regulations, prescribed practices, internal policies and procedures or ethical standards. Bachelor’s degree in finance, accounting, business administration, law, or related field required. Advance degree (MBA, JD, or Master’s in related field) preferred. Trust and Estate Practitioner (TEP) certification preferred.

Other Essential Knowledge:

Fully Bilingual. Experience with trust accounting systems and understanding of trust accounting systems principles, fee calculations, and financial reconciliation. Experience preparing for and responding to regulatory and internal audits. Ability to effectively communicate complex trust matters to clients, legal teams and regulators and executive management. MS Office Skills, including MS Word Advanced, MS Excel Advanced, MS PowerPoint Advanced, MS Project Advanced and MS Visio Advanced required. FIS Charlotte experience or similar trust accounting system.
