Prepare reports, papers, and briefings using applicable/required guidance, policies, and templates
Prepare correspondence using applicable Air Force manuals
Manage and maintain the Branch Chief’s appointment calendars to include: daily calendar reviews, tag-ups, logistics, and event deconfliction as requested or directed
Manage conference room calendar, schedule requests
Schedule or assist in scheduling meetings and conferences, including those involving staff from outside the immediate office
Answer telephones, forward messages, and respond to routine queries
Perform Defense Travel System functions as the Travel Clerk on behalf of the Branch Chief using required manuals and guidance
Assist in coordinating, consolidating, analyzing, distributing, and monitoring action items, suspenses, and responses
Provide inputs and recommendations regarding administrative and office management processes and procedures
Prepare agendas, reports, and briefings (slides) for staff meetings
Fulfill office management role for Branch Chief, including administrative tasks, personnel requests, Records Management, and logistics for promotion ceremonies, farewell lunches, and Commander’s Calls
Other administrative functions as assigned
Record results of all activities for monthly status reports to the Contract Program Manager
Job Requirements At least 8 years of performing military and/or civilian executive-level support services, protocol, information management, and administrative support activities; including specifically the areas of: Executive Staff Support Functions, Military Protocol Information Management/Operations Support, and demonstrated ability to interface with Senior Leadership within the government (military and/or civil servant), federally funded research and development center, or profit/not-profit government support/development contractor arena, of which four years shall include duties/assignments specifically in support of Department of Defense programs. Experience required using standardized and specialized software applications, such as, but not limited to, the following:

  • At a minimum, five (5) years of Microsoft Office Suite experience
  • At a minimum, two (2) years of Defense Travel System experience Preferred, two (2) years of Microsoft Teams
  • Preferred, two (2) years Task Management Tool (TMT) experience

Work Environment This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, filing cabinets and fax machines.
Physical Demands This is largely a sedentary role mostly sitting; however, some filing maybe required . This would require the ability to move files, or boxes with file data, open filing cabinets and bend or stand as necessary, ability to lift up to 40lbs.
