Job Description

The Administrative Assistant I provides comprehensive administrative support to the Division of Student Services and other members of Senior Staff, which includes multiple professional staff members and the Vice President of Student Services. This position is responsible for ensuring the efficient operation of the division by managing a variety of administrative functions. Key responsibilities include handling incoming communications, managing calendars and travel arrangements, processing mail, maintaining accurate records and data entry, preparing meeting agendas and minutes, and coordinating special projects as assigned. The Administrative Assistant serves as a primary point of contact for the Division of Student Services and contributes to the continuous improvement of office procedures, recordkeeping systems, and forms management. Additional responsibilities include processing invoices, preparing purchase requisitions, and assisting with budget tracking in alignment with institutional policies and procedures. Qualifications and Requirements Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below. Substitutions I. an Associate’s or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.• II. an Associate’s or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.•Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed. Preferred Qualifications Clerical experience in an institution of higher education, with considerable familiarity with higher education practices, policies, and procedures.
