About the role The Executive Administrator enhances the effectiveness of senior level management by managing calendars, making travel, meeting and event. This role provides representation of the company’s leadership by collaborating with team members, customers, vendor partners and potential clients. What you’ll do Provides proactive support, taking the initiative to ensure smooth workflow and efficiency. Performs special projects as requested by President, CFO, Directors or other leaders. Communicates and escalates unresolved issues to leaders. Supports 1-4 including President, CFO, Directors or other leaders. Coordinates all aspects of domestic and international travel for President, CFO, Directors or other leaders. Manage the President’s calendar, schedule meetings, coordinate travel, and handle logistics. Prepare materials, take notes, and follow up on key action items. Anticipate needs, resolve problems proactively, and keep things moving efficiently. Always maintain strict confidentiality and professionalism. Interact with senior leaders and other administrative professionals throughout the company Multitasking efficiently, managing multiple calendars and requests with the ability to prioritize accordingly Calendaring such as scheduling calls/meetings across multiple parties (internally/externally) and helping leaders organize such events Providing materials and additional information to internal clients as follow-up to meetings/events Coordinating conference calls (Webinars/Zoom) with internal groups Qualifications 5+ years of experience supporting a senior executive (CEO, President, etc.). Highly organized and detail-oriented with the ability to manage shifting priorities. Strong communication and interpersonal skills—professional, yet approachable.
