Administrative Coordinator 4.0 4.0 out of 5 stars 1200 West Montgomery Road, Tuskegee, AL 36088 Position Information Position Title Administrative Coordinator Status Full Time Job Summary This position is funded through restricted outside funds The Administrative Coordinator will play a critical role in supporting the Executive Director of the Office of Distance Education and Online Learning at Tuskegee University. This position is central to ensuring smooth daily operations and efficient communication within and outside the office. The role requires a well-organized, detail-oriented individual who can manage multiple tasks in a dynamic academic environment. Essential Job Duties Communications Management Answer and direct phone calls, prioritizing emails and phone calls. Prepare and distribute professional correspondence. Serve as the primary contact between the Executive Director and faculty, staff, students, and external partners. Meeting and Event Coordination Schedule meetings and appointments Prepare meeting materials and take notes during meetings. Assist in organizing internal and off-site events and workshops. Calendar and Executive Support Manage and maintain the Executive Director’s calendar Coordinate scheduling internal and external stakeholders Support preparation of reports and presentation materials Travel Coordination Arrange travel itineraries including transportation and lodging. Ensure compliance with university travel policies. Records and Document Management Maintain accurate digital and physical files. Manage contact lists and internal records. Ensure documentation aligns with university policies and regulatory standards. Supplies and Procurement Monitor office supply inventory. Prepare purchase requests, check requests, and personnel action forms (PAFs). Track subscriptions, licenses, and equipment use.
