Administrative Coordinator – Long-Term Contract (Construction Site Office)

Position Overview:

We are seeking a detail-oriented and highly organized Administrative Coordinator for a long-term contract position to support our construction project’s on-site office. The ideal candidate will be responsible for providing timely and accurate updates on project progress to clients, ensuring excellence in administrative support, and maintaining effective communication among all stakeholders. This position plays a critical role in facilitating smooth operations and fostering strong client relationships within a dynamic construction environment.

Key Responsibilities:
Project Reporting:

+ Prepare, compile, and deliver accurate, up-to-date reports on project progress for clients, summarizing key milestones, timelines, and deliverables. + Track and monitor project metrics to ensure deadlines are met and provide weekly or monthly updates to stakeholders. + Collaborate with project managers, engineers, and on-site teams to gather updates and insights.

Administrative Coordination:

+ Manage and maintain project documentation, including schedules, meeting notes, and action plans. + Maintain calendars, schedule project meetings, coordinate appointments, and prepare meeting materials. + Act as the primary liaison between the site office and client teams for administrative tasks.

Client and Stakeholder Communication:

+ Act as a reliable point of contact for client inquiries related to project updates. + Ensure that all documentation distributed to clients is professional, accurate, and timely. + Proactively identify issues or delays and promptly communicate them to the appropriate parties.

Office Management:

+ Ensure the on-site office operates efficiently by managing supplies, coordinating technology needs, and overseeing administrative processes. + Support onboarding of new team members by ensuring access to necessary tools and resources. + Enforce organizational systems for document retention and compliance with company policies.

Workflow Improvement:

+ Identify process inefficiencies and recommend solutions to streamline project reporting and administrative workflows. + Leverage tools such as Microsoft Office Suite, Excel (advanced), and CRM or project management software (e.g., Procore, Smartsheet) to enhance productivity.

Requirements Qualifications and Skills:

+ Minimum of 3-5 years of experience in an administrative or project coordination role, preferably in construction or a related industry. + Proficiency in Microsoft Office Suite (advanced Excel skills required) and experience with CRM/project management platforms preferred. + Strong organizational skills with the ability to handle multiple priorities in a fast-paced environment. + Excellent written and verbal communication skills, particularly in preparing professional client-facing reports. + Knowledge of construction industry processes, terms, or workflows is highly desirable. + A high degree of accuracy, attention to detail, and problem-solving abilities. + Self-motivated with the ability to work independently and collaboratively as part of a team.

Work Environment:
