Bookkeeper & Administrative Coordinator 4.0 4.0 out of 5 stars 3200 SW 4th Avenue, Fort Lauderdale, FL 33315 Position Summary The Bookkeeper & Administrative Coordinator plays a vital, multifaceted role supporting the financial, development, and administrative functions of the organization. This position ensures smooth day-to-day operations by handling bookkeeping tasks, maintaining donor and financial records, assisting with fundraising efforts, and performing general administrative duties.
Key Responsibilities:
Bookkeeping & Financial Administration Maintain accurate financial records using QuickBooks Online Process accounts payable and receivable, bank reconciliations, and monthly financial reporting Assist in budget preparation and grant tracking Maintain documentation for audits, grants, and financial reviews Development Support Manage donor database (Donor Perfect) Accurately enter and acknowledge all donations in a timely manner Prepare donor correspondence, receipts, and reports Assist with coordination of fundraising campaigns, donor outreach, and event logistics Conduct basic donor research and help identify potential funding opportunities Data Entry & Recordkeeping Ensure accurate and timely data entry of donations, vendor information, and constituent records Maintain organized filing systems for administrative and development materials Compile and analyze data for internal and external reporting Administrative Support Serve as front-line support for calls, emails, and general inquiries with vendors and customers Schedule meetings, prepare agendas, and take minutes as needed Maintain office supplies, equipment, and vendor relationships Support human resources with onboarding materials and staff communication Provide general assistance to leadership and program teams as needed Qualifications Minimum 3 years of relevant experience in nonprofit administration, bookkeeping, or development Proficiency in QuickBooks On-line, Microsoft Office Suite (Excel, Word, Outlook), and donor database systems (like Donor Perfect) Excellent attention to detail, organizational skills, and ability to manage multiple tasks Strong written and verbal communication skills Familiarity with fundraising campaigns and donor stewardship best practices Passion for wildlife and environmental conservation a plus Working Conditions Office-based with occasional weekend or evening hours during events or deadlines Must be able to sit for extended periods and lift office supplies (up to 25 lbs) Some interaction with wildlife hospital staff and occasional exposure to animals or wildlife-related environments Please submit a cover letter, and resume for interest in this position to: csegarra@southfloridawildlifecenter.org Work Hours The Center operates year-round, 365 days a year. As representatives of the Center, all staff members may occasionally be expected to engage in direct public interaction, participate in after-hours functions, and attend offsite activities or weekend events.
