Our commitment to quality, customer satisfaction, and operational excellence drives our success. We are seeking a proactive and organized Administrative Coordinator to join our team and support our daily operations. This role is essential in ensuring the smooth operation of our office by providing administrative support and coordinating various tasks. The ideal candidate will possess strong communication skills, a knack for multitasking, and the ability to work efficiently in a fast-paced environment.

Key Responsibilities Email & Communication Management:

Oversee and manage incoming and outgoing emails, ensuring timely and professional responses.

Vendor Relations:

Reach out to and maintain relationships with vendors via email and phone calls to obtain pricing, order materials, and coordinate deliveries.

Appointment Scheduling:

Schedule and coordinate appointments for client consultations, measurements, and installations.

Client Interaction:

Answer incoming calls, address client inquiries, and follow up with potential and existing clients to ensure satisfaction.

Proposal & Invoice Creation:

Receive take-offs and create detailed proposals and invoices using QuickBooks Online.

Documentation & Reporting:

Maintain accurate records of communications, appointments, and transactions.

Software Proficiency:

Utilize QuickBooks Online, Microsoft Excel, Word, Outlook, and OST software to manage data and communications effectively.

Organizational Support:

Assist in general office duties, ensuring a smooth and efficient workflow. Provide personal assistant support to executives or team leaders as required. Prioritize tasks effectively to manage time efficiently and meet deadlines.

Qualifications Bilingual:

Fluent in both English and Spanish, with excellent verbal and written communication skills in both languages.

Experience:

Prior experience in an administrative role, preferably within the flooring or construction industry.

Technical Skills:

Proficiency in QuickBooks Online, Microsoft Office Suite (Excel, Word, Outlook), and OST software.

Organizational Skills:

Strong ability to prioritize tasks, manage time effectively, and maintain attention to detail.

Self-Starter:

Ability to work independently with minimal supervision and take initiative in problem-solving.

Communication:

Exceptional interpersonal skills with the ability to interact professionally with clients, vendors, and team members. Competent in data entry with a focus on accuracy. Familiarity with office management practices and procedures. Ability to function effectively as a personal assistant when needed. Excellent time management skills to handle multiple responsibilities simultaneously.
