We are seeking a highly motivated administrator to handle a variety of administrative tasks in a fast paced, busy medical office and provide concierge level services to our patients. Responsibilities Answer high volume of phone calls, as well as respond to emails, text messages and faxes Greet patients and other visitors when they arrive Schedule patient appointments and complete new patient intake procedures Maintain excel based tracking logs Distribute forms and paperwork and check them over to ensure that required fields are completed properly Collect co-pays, coinsurance and self-pay payments Complete pre-authorizations and referrals to physicians/imaging Attend weekly meetings with clinical directors with a focus on practice growth Manage and implement systems, programs, and processes among the front desk Manage inventory of necessary office supplies and coordinate reordering Assist the clinic in managing patient flow: check, check out, cancellations, recalls, etc. Keeping track of office stats Additional administrative duties Qualifications Ability to multitask and manage time effectively Outgoing and vibrant personality providing concierge level service Quick learner that’s able to work independently Previous relevant experience Excellent computer skills in Microsoft Suite, including email Preferably, 1+ years of experience working in a healthcare administrative setting Preferably, 1+ years of experience in electronic health records software Bilingual (English and Spanish) a plus
