Administrative Coordinator Crealde School of Art 600 St Andrews Boulevard, Winter Park, FL 32792 Founded in 1975 and located on a tropical campus in Winter Park, Crealdé School of Art is one of Florida’s highest-rated cultural organizations. Its visual art programs serve over 50,000 residents and visitors annually through classes, workshops, and exhibitions at the main campus, the Hannibal Square Heritage Center, Winter Garden, and community outreach and exhibition sites. Crealdé School of Art Administrative Coordinator The Administrative Coordinator is a 28-hour position, Tuesday – Thurs 10am – 5pm, Friday 10-1pm, Saturday 9-1 pm, responsible for supporting key areas of Crealdé’s operations, including volunteer coordination, membership program oversight, and registration support. This highly visible role serves as a welcoming representative of Crealdé and ensures a positive experience for students, visitors, and the broader community. Responsibilities Front Desk & Administrative Support Serve as a first point of contact by answering incoming phone calls, responding to email inquiries, and greeting guests professionally and courteously. Assist with the class cancellation process, including processing tuition payments and communicating class policies clearly to students. Ensure roster is regularly updated and accurate. Manage student concerns such as refunds, class credits, and class transfers in coordination with the Registrar and staff. Maintain a professional and welcoming appearance in the office entrance, gift shop area, and general office space. Provide general office support and coordinate with staff to ensure smooth daily operations. This position requires a professional and approachable demeanor, strong communication skills, and the ability to handle various situations with courtesy, discretion, and a service-minded attitude. Volunteer Coordination Recruit, oversee the ambassador program, and manage volunteers, including event ambassadors, youth class assistants (Main and Winter Garden campuses), and gift shop helpers. Conduct reference checks, interviews, and orientations for new volunteers. Coordinate with staff each session to determine volunteer needs. Maintain accurate volunteer records, contact lists, and files. Collect, organize, and submit volunteer hours to the Grant Writer annually in January. Organize one volunteer appreciation initiative and provide volunteer spotlights for the Marketing Department. Maintain communication with students seeking service hours; ensure off-campus volunteer events involving minors have signed parental consent. Membership Services Process new membership cards and membership renewal reminders monthly. Prepare biannual membership reports (July 1 & January 1) and an annual demographics report by December 1 for grant and progress reporting. Office & Event Support Help facilitate Board of Directors meetings (8x/year), including setup, document distribution, and archiving. Assist with ordering office supplies and managing the gift shop inventory in coordination with faculty and fellows. Requirements Excellent interpersonal, customer service, and communication skills. Professional demeanor suited for a front-facing role. Detail-oriented with strong verbal and written abilities. Must have proficiency in Microsoft Office Suite (Word, Excel). Comfortable working in a creative, fast-paced environment. Ability to understand and communicate about various artistic media and programs. Collaborative spirit and respect for timelines and administrative priorities. Compensation & Benefits $18 hour | 28 hours per week Includes one complimentary class per session. Reporting & Agreement The position reports directly to the Executive Director and works closely under the day-to-day supervision of the Registrar. The role includes a 90-day probationary period.
