Job Description Responsibilities:
Constant monitoring of the Facilities inbox and Vixxo portal to vet, qualify and authorize work of the Facilities Maintenance Vendors.
Assists with all Support Center needs under direction of the Executive Assistant.
Enter all preventative maintenance contracts, as required by lease, and other vendor contacts in CoStar.
Monitor response times and communicate with vendors to ensure quality work performed within expected time frames.
Receive and distribute all mail received at the Support Center, including retrieval of mail from the US Government Client Post Office Box. This also includes scanning to send to remote staff or others.
Responsible for all shipping and receiving, including UPS, FedEx and any other shipments received or needing to be shipped. This includes receiving and reshipping hearing aids and supplies inadvertently shipped to the Support Center.
Provides UPS labels and supplies, when requested. Also assist IT with the shipping of equipment for new or terminated staff.
Maintains all Support Center supplies, including break rooms, bathrooms, meeting rooms, copy room and training room.
Provides assistance to subtenant, when needed.
Communicate with Landlords and Property Managers regarding any issues for which they are responsible, roof access when needed or any required landlord approvals. Maintain Property Manager spreadsheet in Teams.
Enter PO requests within B.C. System to generate PO’s.
Qualifications:
High school diploma or equivalent
Must have excellent follow-up skills
Must have strong organizational skills
Must possess strong attention to detail
Excellent verbal and written communication
Administrative experience preferred
Property management background preferred
