Position Summary:
Administrative Coordinator provides administrative support and coordination to the Office of Admissions. This position requires a candidate working somewhat independently in accordance with written policies, procedures, verbal instructions, and knowledge of administrative practices. This position is accountable for providing professional and quality assistance to facilitate the efficient operations of the Division of Enrollment Management. This position requires initiative, professionalism, a high level of integrity and confidentiality, as this person is responsible for handling sensitive material, as it relates to administration, faculty, staff, and students. Generally, this position relies on considerable administrative experience, knowledge of Reinhardt operations, problem-solving, and decision making. This position reports directly to the Office of Admissions and will work closely with the Director of Admissions and Associate Vice President of Enrollment Management. This position performs a variety of highly visible administrative and clerical duties which may involve, but are not limited to, tasks such as: accurately collecting data and information, courteously attending to callers and visitors, creating and maintaining accurate and up to date files, organizing data and events, responding to requests for information in a timely and accurate manner, attentively coordinating schedules, meetings and travel arrangements, providing accurate and word processing and data entry support, neatly copying materials, and promptly sending, receiving, and distributing emails. Challenges encountered by this position may include, managing multiple tasks simultaneously, prioritizing assignments, diplomatically screening calls and visitors, establishing good time management techniques, persuading staff and faculty to respond to requests in a timely manner, and making difficult decisions relative to work approach. The Administrative Coordinator role is an integral component to the success of the Division of Enrollment Management. Due to activities and deadlines, this position may be required to occasionally work nights and weekends to accomplish necessary tasks.
Minimum Education & Experience Requirements:
Associate Degree in Business or related field experience required 4-6 years of senior administrative experience Computer literate with proficiency in Microsoft Office applications Knowledge of and experience using Salesforce, student information system, imaging software and design program, such as Canva. Demonstrated skills in communications, interpersonal relations, and problem solving Previous work experience in a college or university setting preferred but not required Preferred supervisory experience for student worker management.
Primary Responsibilities/Essential Job Functions:
Serve as a public facing representative of the university, managing the front desk duties, maintaining general mail, email and phone communications and ensuring a clean welcoming area for visitors. Ensure adequate coverage of front desk, student worker assignments and counselors on duty. Efficiently and accurately manage appointments, schedule meetings, and calendars. Effectively manage requests and problems to free up the senior administrator’s time for other activities. Create a team of student workers for each semester, working alongside the financial aid department for time management, monitoring and approvals. Develop training for student workers and provide monthly coaching and feedback sessions to grow the experience for student workers. Manage student workers and assign duties according to the needs of the admissions team. Compile and distribute staff and Trustee meeting minutes and properly maintain files. Maintain admissions team expenditure receipts, reconcile monthly statements and provide reporting for budgetary monitoring and forecast preparation. Maintain an adequate inventory of supplies and facility needs of the physical workspace. Utilize available technology to improve effectiveness of work efforts. Coordinate Admissions team and individual meetings, scholarship interviews and follow up sessions including management of attendees, room reservations, creating PowerPoint presentations and meeting minute transcriptions. Assist the Event Manager with events as needed, including the creation of marketing materials, event activities and scheduling student worker support for event needs. Maintains a working knowledge of campus policies and procedures. Prepare and maintain a variety of reports, correspondences, and databases, some of which are confidential in nature. Supports the communication flow to prospective students, faculty and staff including letters, emails, and phone calls regarding application processing Interact with students, parents, faculty, staff and other parties as a source of information. Manage the flow of information into and from the offices of Admissions and Enrollment Management. Assist with the schedule of campus tours and visits; send email confirmations, print personalized maps, update TV, etc. Other assignments as needed
Additional Responsibilities:
Additional responsibilities will include special projects for the Associate Vice President of Enrollment Management. Professionally reflect the image and values of the University in all contact with staff, students, faculty, and the public. Day to day reporting is to the Director of Admissions. As appropriate, this position may be required to perform other functions associated with the day-to-day operations of the University as assigned by their supervisor. Establish and maintain contacts, processes and procedures with the appropriate departments. (i.e., Business Office, Registrar, Residential Life, Marketing & Communications and Financial Aid)
Knowledge, Skills, and Abilities:
Demonstrated working knowledge of computer applications including word processing, spreadsheets, email, and Internet. Ability to prepare standardized reports using Microsoft Office suite applications including Word, Excel, PowerPoint, Publisher, and related software. Experience with Adobe Acrobat preferred. High degree of accuracy and neatness in preparation of letters, memos, emails, reports, etc. Ability to work with attention to detail, especially when organizing events and coordinating schedules. Demonstrated ability to communicate and interact, both in writing and verbally, in a customer friendly manner, especially when resolving disputes, and when working with employees, senior administrators, volunteers, and donors. Ability to manage time effectively and work on multiple complex assignments. Demonstrated ability to prioritize work assignments and manage multiple projects simultaneously. Job:
This position is located within a general office environment. The candidate must have the ability to walk between buildings on campus, occasionally lift twenty pounds, and be able to work sitting down for long periods of time. Physical capacity to be comfortable working in an environment requiring daily keyboarding, and occasional lifting, carrying, pushing, and pulling.
