We’re looking for a confident, self-motivated Executive Administrative Coordinator to support our senior leadership team and keep our Marietta office humming. You’ll handle executive scheduling, coordinate projects, and pitch in on everything from proposals to vendor communications. Key Responsibilities Office Administration Serve as the first point of contact for staff and visitors Answer and direct phone calls; respond to general inquiries Serve as a liaison between senior leadership and internal teams or external partners Maintain inventory of office supplies and place orders as needed Distribute mail and manage document filing (both digital and physical) Keep the office environment organized and efficient Manage and prioritize calendars for senior executives, including scheduling internal and external meetings Proactively resolve scheduling conflicts and ensure appropriate prep time between meetings Project & Proposal Support Assist the project management team with scheduling work crews and tracking assignments Use company templates to prepare and send proposals to clients Update and maintain project documentation and internal calendars Adjust schedules as needed based on staffing or project demands Communicate changes and updates to internal teams clearly and promptly Monitor deadlines and deliverables for cross-functional projects involving executive team members Follow up with stakeholders to ensure action items are completed on time Accounts Payable & Expense Tracking Process invoices and assist with expense report reviews Monitor for missing or incomplete information and follow up as needed Escalate issues or inconsistencies to the appropriate team Prepare, review, and submit detailed expense reports on behalf of senior leadership Track incoming invoices for executive-related vendors, consultants, or contractors and coordinate approvals Reconcile company credit card statements and work with finance to resolve discrepancies Organize and archive financial documentation in digital systems to support compliance and audits Required Skills & Experience Intermediate proficiency in Microsoft Office and Google Workspace, including calendar and document management Ability to draft polished emails, internal memos, reports, and presentation materials with accuracy and professionalism Experience coordinating executive-level schedules and handling confidential information with discretion Strong attention to detail with excellent written and verbal communication skills Skilled in prioritizing tasks, managing competing deadlines, and adjusting to shifting needs with minimal supervision Comfortable arranging complex travel itineraries and reconciling related expenses Working knowledge of Canva and CRM systems for light design and contact management Positive, professional demeanor with a commitment to exceptional customer service Ability to work independently while maintaining alignment with executive and team goals Confidence in representing leadership in communications with internal and external Preferred Qualifications Three or more years of experience in administrative support, office coordination, or executive assistance Background supporting senior leadership or working directly with executives in a fast-paced environment Familiarity with construction, industrial, or engineering settings and a basic understanding of project workflows Associate degree in business administration or a related field preferred or an equivalent combination of education and experience Experience managing calendars, coordinating travel, and handling confidential information with professionalism
