POSITION SUMMARY

This position is responsible for performing administrative and office support activities for multiple staff members. Duties include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. Extensive software skills, Internet research abilities and strong communication skills are required. This position also provides assistance with monitoring departmental expenditures against the approved budget; preparing and submitting invoices for payment; and preparing purchase requisitions, purchase orders, and other related records. Work is performed in an office and warehouse environment and may require bending, stooping, walking, stretching and lifting of objects up to 25 pounds. Excellent oral, written and customer service skills required. Ability to read, write, and perform mathematical calculations. High school education or equivalent; or an equivalent combination of experience, education, and training related to the essential duties are required. One to two years’ work related experience preferred. Possession of or ability to readily obtain a valid driver’s license

PRINCIPAL ACCOUNTABILITIES

Maintains appointment schedules for department employees, screens and refers phone calls for Broadband Manager and Broadband staff. Prepares correspondence, types reports, prepares complex spreadsheets and tables. Prepare Broadband agenda items for Internal Services Committee meetings. Set up conference room for meetings. Maintain critical business, accounting and record systems requirements for daily operations. Responsible for processing monthly customer invoices on or before the first day of the month. Responsible for processing customer service orders in a timely manner, which includes appropriate signatures and proper paperwork for each service order. Responsible for processing invoices in a timely manner, which includes appropriate approvals, budget compliance, and proper paperwork for each payment. Maintains and orders office supplies and materials, receives and logs deliveries, creates files for the department. Entering and updating information in the Fiber Optic Network Management System as requested. Responsible for entering departmental payroll from employee timesheets collected into the payroll system. Responsible for entering purchase requisitions for the department into the financial system. Assist Broadband Manager with preparing customer quotes. Assist Broadband Manager with preparing department annual budget including monitoring current budget expenses. Maintain critical business requirements for daily operations Serves as customer service representative for general public, answers departmental telephones, screens incoming calls to proper staff, and all general office duties as needed. Performs other duties as assigned

KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of county organization and structure, county policies and procedures Knowledge of the methods and procedures for preparation of monthly customer invoices. Proficient in using Microsoft Office software to write correspondence, creating spreadsheets for analyzing information and presentations. Knowledge of basic record keeping and general office procedures Skill in typing, performing computer operations, using calculator, copier, and facsimile machines

DESIRABLE TRAINING AND EXPERIENCE

Excellent oral, written and customer service skills required. Ability to read, write, and perform mathematical calculations. High school education or equivalent; or an equivalent combination of experience, education, and training related to the essential duties are required. One to two years’ work related experience preferred. A combination of education and/or work experience may be substituted for minimum requirements.
