Job Description:
The Administrative Coordinator to the Industrial Regional Manager plays a critical role in supporting smooth regional operations by bridging administrative functions with field coordination. Acting as a central hub for communication and logistics, this role ensures accurate documentation, effective scheduling, and seamless collaboration between field teams, Project Managers, Sales, Accounting, and HR. By managing key administrative processes and supporting compliance, billing, and personnel coordination. We are seeking a highly organized and detail-oriented individual. The ideal candidate will be highly organized and proactive, have excellent communication skills, strong organizational abilities, and possess the capability to multitask in a fast-paced environment. Industrial Regional Managers Areas of Responsibilities:
Coordinate daily office duties. Coordinate billings with the accounting department by providing initial review of invoicing documentation. Coordinate with sales and internal teams to resolve billing discrepancies and disputes. Coordinate with team members to ensure timely completion of projects. Coordinate daily schedules and calendar invites for the Regional Manager. Coordinate meetings and Industrial needs with Project Managers, Sales Manager, and HR. Coordinate follow-up emails, meeting notes, and memos as needed. Act as a liaison between operations, HR, and sales teams to ensure effective information flow. Assist internal and external audits as needed. Assist Project Managers in time management and project scheduling. Assist in order materials and supplies as needed to support ongoing projects. Answer customer calls and provide excellent customer service. Maintain up-to-date records of manifests, timecards to ensure record-keeping. Support Industrial Sales Managers when needed. Other duties as assigned.
Qualifications:
Highly organized, proactive, and team-work focused. Capability to multitask in a fast-paced environment. Strong problem-solving skills and attention to detail. Excellent time management and organizational abilities. Ability to work independently and collaboratively within a team. Effective communication and interpersonal skills. Ability to sit for extended amounts of time as position is primarily office-based with occasional lifting of supplies and use of office equipment. High school diploma; additional qualifications in office administration are a plus. Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
