Position Summary:

The CFI Admin Coordinator supports the daily operations, training logistics, and administrative functions of CFI. This role ensures the seamless execution of internal processes, financial coordination, and event support while maintaining effective communication across departments. The ideal candidate is detail-oriented, organized, and proactive, with the ability to manage multiple priorities in a dynamic environment.

Key Responsibilities:

Manage the functionality and performance of the IMIS system, ensuring data accuracy and system integrity Handle all accounts payable for CFI, coordinating with our parent company to ensure proper financial tracking and timely processing Ensure all receivables are allocated accurately to their respective events and programs Gather, prepare, and ship assets and materials needed for training sessions and special events Print and mail all certification and renewal documents in a timely and organized manner Respond to incoming phone calls and emails, ensuring messages are routed to the appropriate team members Maintain a team lead worksheet and help enforce consistent follow-up on new leads Assist with planning and preparation for CFI training events held in Dalton, GA Support warehouse inventory management, ensuring all assets are accounted for and maintained Distribute weekly team performance reports to leadership and relevant staff Develop and implement efficient administrative processes to support operational excellence Manage and maintain scheduling of all events within the shared Teams calendar

Qualifications:

Strong organizational skills and attention to detail Proficiency with Microsoft Office (especially Excel, Teams, Outlook) Experience using CRM or AMS platforms; IMIS experience is a strong plus Excellent communication and interpersonal skills Prior experience in accounts payable, bookkeeping, or administrative support preferred Self-motivated with the ability to work both independently and as part of a team
