Job Description
Pay Grade:
F
Supervises, guides, and/or instructs the work assignments of subordinate staff. Performs a variety of general secretarial, clerical, and administrative support functions/processes or a few specialized or essential clerical functions in support of a unit or office and related personnel. May enter data and/or process documents and records. The work includes operating standard office equipment.
Role and Responsibilities:
Serves as Office Manager for DFCS Child Welfare for Wilkes, Lincoln and Taliaferro counties. Performs a variety of general administrative support functions in support of the county office and related personnel.
Receives bills and invoices, checks for accuracy and processes to Regional Accounting for payment. Serves as Contract Liaison for office.
Maintains office supplies, anticipates needs and orders as appropriate. Ads to budgetary guidelines.
Responsible for office equipment & inventory. Maintains equipment inventory lists. Manages leases for standard office equipment. Initiates onboard/offboard requests for staff. Maintains training logs for staff. Serves as office coordinator for Emergency Management duties. Manages and/or creates reports and submits as requested.
Schedules meetings, appointments, and events. May prepare meeting materials and take minutes.
Core Competencies:
Excellent oral, written, presentation and interpersonalmunication skills.
Strong proficiency in Microsoft Office, to include Word and Excel and/or standard software applications typically used in a corporate office environment.
Minimum Qualifications
High school diploma/GED AND two (2) years of experience required at the lower level Admin Support 3 (GSS082) or position equivalent. Must show ability to lead or supervise a team.
Preferred Qualifications:
Preference will be given to candidates who, in addition to meeting the minimum qualifications, demonstrate some or all of the following skills/experience: Strong proficiency in use of Microsoft Office Suite.
Four (4) years of Administrative Support experience which involved customer contact/interaction.
