Administrative Research Coordinator – Japanese bilingual 4.0 4.0 out of 5 stars Cambridge, MA The position of Administrative Research Coordinator is responsible for coordinating comprehensive administrative, clerical, and research services to the executives and supporting effective and efficient business and accounting operations. 2.
Job Responsibilities:
The core, essential duties and responsibilities of this position include, without limitation, the following. Other duties – essential or otherwise – may be assigned from time to time at the Company’s discretion: (1) Expense Handling Prepare, process, and handle employee expense reports, including receipt verification, compliance review, and submission of reimbursement requests. (2) Vendor Payments Review vendor invoices for accuracy, coordinate approvals, and process payments via bank transfers in a timely manner. (3) Financial Recordkeeping Maintain and post financial transactions in the Company’s accounting system, including account reconciliation and month-end closing activities. (4) Industry Event Research Research and update information related to industry and technology conferences, seminars, exhibitions, and community events in the Company’s internal database. (5) Contact Maintenance Maintain and organize contact records of business professionals connected to employees within the Company’s internal database. (6) Market and Technology Research Conduct research on market developments and technology trends; prepare and present summary reports to inform strategic decisions. (7) Document Organization Organize, file, store, and retrieve corporate documents, records, and reports in accordance with Company policies. (8) Mail and Package Handling Coordinate outgoing mail and packages; receive and distribute incoming mail and deliveries promptly and accurately. (9) Project and Event Support Provide administrative support for executive-led projects and events, assisting with logistics and ensuring smooth execution. 3.
Required Skills and Competencies:
To perform the job successfully, an individual demonstrating the following competencies will be strongly preferred: (1) Bachelor’s degree or equivalent (2) Minimum 1- 3 years’ administrative and accounting experience preferred (3) Writing and editing skills both in Japanese and English languages (4) Proficiency in using productivity tools and software, such as Microsoft Office, Quick Books, and other collaboration tools. 4.
