Administrative & Development Coordinator Keepers of Burnt Island Light West Boothbay Harbor, ME 04575
- Hybrid work Part-Time | Boothbay Harbor, ME | Hybrid Possible The Keepers of Burnt Island Light (KBIL) seek a mission-driven and organized individual to serve as our Administrative & Development Coordinator.
This is a newly created part-time position with potential to grow into a full-time leadership role. KBIL is a 501(c)(3) nonprofit that works in partnership with the Maine Department of Marine Resources (DMR) to preserve and support Burnt Island, home to Maine’s second oldest lighthouse and a state-of-the-art education center. The island serves as a living classroom for students, teachers, professionals, and the general public. This position is ideal for someone who thrives on meaningful work in a unique coastal setting, combining behind-the-scenes coordination with community-facing engagement. The position works with both KBIL’s Board of Directors and the DMR team. Key Responsibilities
- Development & Fundraising
- Support and coordinate fundraising initiatives and donor communications
- Assist with grant research, writing, and reporting
- Maintain donor database and acknowledgments
- Help build long-term funding strategies alongside the Board
- Administrative Support
- Manage email, mailings, and website updates
- Prepare meeting agendas, minutes, and reports for the Board
- Maintain organizational records and documentation
- Support marketing and social media communications
- Volunteer & Program Coordination
- Recruit, schedule, and support volunteers for tours, trail and garden work
- Assist with seasonal planning and program logistics
- Help onboard and orient seasonal staff or docents
- Track hours, organize training, and maintain schedules
- Assist with logistical and operational needs on Burnt Island, such as supply runs, maintenance coordination, and seasonal setup or shutdown activities. Seasonal Workflow

Support Island prep, volunteer clean-up days, and program planning

Coordinate educational tours, volunteers, and fundraising events

Assist with shutdown, donor outreach, and reporting

Work with the board on annual planning and grant proposals Qualifications
- Strong organizational and communication skills
- Experience in nonprofit development or administrative work preferred
- Comfortable learning simple website and database tools
- Enthusiasm for Maine history, lighthouses, and coastal education
- Ability to work independently, with flexibility in a small nonprofit setting Compensation & Structure
- Part-time position (flexible 10-20 hours/week to start)
- Hybrid remote/onsite flexibility depending on the season. When working on site, this position will be based at the Department of Marine Resources’ waterfront campus in Boothbay Harbor.
- Hourly rate commensurate with experience
