Job Description

Admin Assistant II – Office Coordinator 4.1 4.1 out of 5 stars 102 N. Main Street, Davidson, NC 28035 The Administrative Assistant II role will assist with the day-to-day management and oversight of the Residence Life Office. The Admin II’s primary function is to assist the professional staff members within the Residence Life Office and serves as the primary point of contact for internal and external constituents and greets students, employees, families, and visitors to the office. The responsibilities associated with this position included, but are not limited to: Greeting visitors to the office and assisting students, staff, faculty, families, and alumni with questions both in-person and through email, as well as maintaining calendars and schedule meetings for office staff with students and families as needed. Managing the office, which includes oversight for space reservations, general office email communication and correspondence, office supplies and items, and maintaining a schedule for front desk coverage during operating hours. Supervise student staff and processing student payroll. Assist with housing assignment process as directed. Assisting with processing payments, submitting purchase orders, and providing financial and budget management assistance as directed. Help maintain and upkeep the office website, which includes getting trained and utilizing the content management system (CMS). Manage and enter work orders received from students, staff, and families related to student residence halls and apartments, this includes entering work orders in the system and following up with physical plant and building services and students as directed. Provide assistance and oversight of room keys, including, but not limited to conducting lock-outs for students, completing key inventories, signing out and tracking temporary keys, and submitting work orders for key changes. Perform other duties as assigned.

Requirements:

HS or GED, and a minimum of 3 years of office experience required. Bachelor’s degree preferred.

Knowledge/Skills/Abilities:

Working knowledge of typical office machines: computer, copier/printer; Accounting for budget purposes: Intermediate skills in MS Office, Google Drive; Strong organizational skills, problem solving, and communication; high level of discretion and interpersonal skills.
