Job Description

Description We are looking for an experienced Administrative Coordinator to join our team in Victor, New York. This is a long-term contract position within the medical devices industry, offering an excellent opportunity to contribute to a dynamic and fast-paced environment. The ideal candidate will excel in managing administrative tasks and supporting business operations with efficiency and professionalism.

Responsibilities:
  • Handle incoming calls with professionalism, ensuring inquiries are addressed or redirected appropriately.
  • Manage executive and team calendars, coordinating meetings and appointments effectively.
  • Maintain confidentiality while processing sensitive documents and information.
  • Format and organize documents to meet company standards and improve accessibility.
  • Support international business operations through effective communication and coordination.
  • Utilize Microsoft Word and other tools to create, edit, and format documents as needed.
  • Process data in various formats, ensuring accuracy and compliance with company protocols.
  • Collaborate with team members to streamline administrative processes and improve efficiency.
  • Schedule and host virtual meetings using platforms like Cisco Webex.
  • Ensure timely submission and tracking of expenses through systems like Concur. Requirements
  • Proven experience in administrative roles, preferably within the medical devices or financial services industries.
  • Strong skills in answering and managing inbound calls professionally.
  • Expertise in calendar management and scheduling.
  • Ability to handle confidential documents with discretion and integrity.
  • Proficiency in formatting and word processing, particularly with Microsoft Word.
  • Familiarity with international business practices and communication.
  • Solid understanding of data processing and handling various data formats.
  • Excellent organizational and communication skills to support team objectives.
