Responsibilities:

The Supervisor of the Logistics Center and Patient Transportation is responsible for overseeing the optimization of patient flow and ensuring efficient hospital operations through patient admissions and transfers, while also monitoring bed availability and resource allocation. The Supervisor will facilitate continuous throughput of patients from all points of entry within the Bassett HealthCare Network by utilizing effective verbal communication, reviewing technology that supports patient placement activities, and swift decision making. The Supervisor is also responsible for the day-to-day activities of both Logistics and Patient Transportation, including scheduling, billing reconciliation, training, workflows and process and quality improvement. The Supervisor will utilize data management systems for entry, retrieval and creation of necessary reports to support the logistics hub and care coordination. The Supervisor will act in support of the Department Director. Provides high quality administrative support for Department leadership Supervises the daily operations of bed placement and transfer facilitation Monitor real time data on bed availability, patient census and resource allocation to identify and address bottlenecks in patient flow Represent the bed placement and transfer function in meetings, huddles, presentations, and other external communications Develop and implement policies, procedures, and workflows to streamline the bed placement and transfer process Collaborate with hospital leadership, emergency management, and community partners to coordinate patient transfers and placements during surge events or emergencies On a daily basis act as a consultant and resource to the Director and staff. Troubleshoots and problem solves as issues arise, keeping the Director informed Demonstrates independent judgement and critical thinking skills, within scope of job responsibilities, in the absence of direct supervision Demonstrates efficient time management skills, demonstrated by project management and task completion Implement continuous quality improvement initiatives to enhance the efficiency and effectiveness of bed placement and transfer process The Supervisor will provide support to Patient Transportation which includes managing the Medical Answering System (MAS) for Bassett HealthCare Network employees Audit, review and reconcile billing statements from contract transportation companies for accuracy and completeness Monitor and analyze key performance indicators to track progress and identify trends for Logistics and Patient Transportation Develop and maintains schedules that supports appropriate staffing levels and uninterrupted coverage Maintains active plan for cross coverage of job knowledge to enable plan for unanticipated coverage issues Establish and maintain effective communication channels with hospital departments, external facilities, and community partners to facilitate timely patient placements and transfers Communicates effectively with providers, and coworkers using means to protect patient privacy and maintain confidentiality Establishes and maintains manual and electronic data management systems. Classify, sort, distribute and/or files correspondence, articles, mail, records and other documents Maintains manual and automated computer files to allow prompt retrieval of information Compiles other department specific data and develops reports and presentations as requested Demonstrates skill in computer use and downtime procedures as measured by direct supervisory observation and co-worker feedback Maintains accurate patient census for Collaborative Care by monitoring each inpatient team creating real time reports Provides support for meetings, conferences, special events and appointments; maintains assigned calendar(s) Schedules routine meetings within 48 hours of request, and impromptu meetings within timeframe requested, notifying meeting owner of potential conflicts as measured through supervisory observation Performs other duties as requested

Qualifications:
Education:

High School or GED, preferred

Experience:

Minimum 2 years Administrative and/or office clerical experience, required An Associate’s Degree in business, business management or a related healthcare field can substitute for one year of experience
