Job Description We are seeking a highly organized and detail-oriented Office Administrator with hands-on experience in Service Titan, materials and billing processes, customer service dispatching (CSR), and QuickBooks. The ideal candidate will play a key role in supporting daily operations, coordinating office functions, and ensuring accurate financial and logistical workflows across departments.
Responsibilities:
Manage and monitor dispatch board, assign jobs to field technicians using Service Titan Serve as a primary CSR contact, answering phones and assisting customers with scheduling and service inquiries Create, update, and close out jobs in Service Titan, ensuring accurate data entry and follow-through Track technician performance and ensure follow-up on pending jobs and quotes Maintain accurate records of materials used on jobs, reconcile technician materials usage with job costing Work closely with purchasing to ensure timely ordering and inventory management Generate job invoices in Service Titan and ensure proper documentation is attached (POs, materials used, etc.) Follow up with clients on billing issues and outstanding balance Enter and reconcile bills, expenses, and payments in QuickBooks Support Accounts Payable and Accounts Receivable functions Assist with weekly/monthly financial reporting and job cost analysis Coordinate with outside accountants or bookkeeping professionals for clean financial records Assist with filing, documentation, and maintaining digital records Prepare daily, weekly, and monthly reports as needed Contribute to a positive and efficient office environment
Requirements:
Minimum 2 years of experience using Service Titan Proficient in Quick Books (Desktop or Online) for day-to-day accounting Knowledge of basic bookkeeping principles and billing practices Experience in dispatching, CSR, or scheduling in a service industry (HVAC, Plumbing, Electrical, etc.) Experience with job costing and inventory management Strong computer skills: Microsoft Excel, Word, email, and cloud file systems Excellent communication and organizational skills Ability to multi-task and prioritize in a fast-paced environment
