Job Summary:
We are seeking an organized, proactive, and tech-savvy Administrative Coordinator to join our dynamic office team. This individual will be responsible for managing caregiver schedules, supporting onboarding processes, maintaining office inventory, and ensuring smooth communication between clients, caregivers, and the office.
Key Responsibilities:
Manage and maintain caregiver and client schedules, including adjustments and updates as needed. Communicate effectively with caregivers, clients, and families via phone, email, and in-person interactions. Oversee onboarding of new caregivers, ensuring all documentation is completed and compliant. Maintain accurate records and documentation for clients and caregivers in electronic and paper systems. Proficiently use Google Workspace (Docs, Sheets, Drive) and Excel for data tracking, reporting, and document preparation. Keep track of office supplies and place orders as necessary to maintain inventory. Support the team with administrative tasks such as data entry, filing, and preparing reports. Use HHAeXchange (preferred, but training can be provided) to manage schedules and caregiver documentation. Provide exceptional customer service and maintain a professional and welcoming office environment.
Qualifications:
Strong organizational skills and attention to detail. Excellent written and verbal communication skills. Proficiency with Google Workspace (Docs, Sheets) and Microsoft Excel. Ability to multitask and prioritize tasks in a fast-paced environment. Prior experience with HHAeXchange or a similar scheduling platform is a plus. Previous administrative experience in a healthcare or home care setting is preferred. Bilingual (English/Spanish or other languages) is a plus but not required. Why Join Us?
