OVERALL OBJECTIVE OF JOB
To perform specialized administrative and supportive functions in a timely manner to assure efficient operation of the department.
ESSENTIAL FUNCTIONS OF JOB
Assists management level staff with clerical and data support to accomplish agency goals. Interacts with other internal and external governmental departments, outside offices, agencies and the general public daily as needed to perform essential job duties. Supervises and supports staff to include one on one training. Assigns and monitors work within the unit and assuring staff are meeting all deadlines. Active member of the administrative/management team. Conducts performance reviews of staff. Addresses personnel issues within service area/unit. Responsible for scheduling unit meetings.
ESSENTIAL FUNCTIONS SPECIFIC TO ADMINISTRATIVE SUPERVISOR – CLERICAL
Operates computers with a high level of skill providing input and making adjustments to programs as needed. Prepares reports, memos, letters, spreadsheets and databases as needed. Liaison for IMTO and Maintenance. Functions and maintains credentials as notary for the Agency.
ESSENTIAL FUNCTIONS SPECIFIC TO ADMINISTRATIVE SUPERVISOR – FISCAL
Assist Financial Manager with revenue maximization (Act 148, Title
IV-E, TANF
). Assist Financial Manager with any new State and Federal regulations / requirements Operates computer, copier and other office equipment daily
OTHER DUTIES OF JOB SPECIFIC TO ADMINISTRATIVE SUPERVISOR – CLERICAL
Oversees expungements of data. Maintains employee records required for annual licensing. Attends training as required. Function as JTAC liaison Functions as Child Welfare Resource Center training liaison Function as MCI liaison Function as CAPS liaison Function as CPCMS, Onbase and UJS Portal liaison Function as AFCARS liaison Functions as Sex Offender Assessment Board liaison. Functions as liaison with Court Administrator for Court Custody Forms Functions as Agency liaison for CPS related issues Performs other job-related duties as required.
OTHER DUTIES OF JOB SPECIFIC TO ADMINISTRATIVE SUPERVISOR – FISCAL
Implement/manage all fiscal related bulletins; assist with any related policies and procedures Directs/monitors invoicing of Federal funds Provide quality assurance of all Federal funds; coordinate Title IV-E Reviews Attend meetings and trainings as required
MET’s:
EDUCATION/TRAINING
High school graduate. Experience with Windows, Microsoft software, and Microsoft Excel Good typing skills.
WORK EXPERIENCE
Two years of experience as an Administrative Specialist or equivalent combination of experience and training.
