This position is located in the Finance & CFO, Richland County. Are you the One? We are looking for an Administrative Coordinator I who performs day-to-day financial and administrative support activities for the Chief Financial Officer and the Finance Division with little to no supervision. Maintains a complex and dynamic calendar of appointments for the Deputy Director of Finance/Chief Financial Officer (CFO) and the Finance Division. This includes scheduling meetings, daily reminders, reminder of next day meetings/appointments, travel, etc. Coordinates meetings and prepares agendas for ad-hoc and recurring meetings. Compiles and coordinates agenda items, distributes meeting materials and serves as the recording secretary for assigned meetings of the Deputy Director/CFO and the Finance Division. Interfaces with internal and external customers. Moves efficiently between tasks with a high degree of accuracy often under the pressure of deadlines.
Reviews the Deputy Director/CFO’s incoming/outgoing correspondence. Assigns deadlines, coordinates responses with the appropriate agency personnel and tracks status. Prepares drafts to answer routine correspondence. Reviews incoming correspondence and directs it to the appropriate Division or Bureau for response. Ensures deadlines are met on all responses, correspondence, special projects, etc. requiring a reply by the Deputy Director/CFO. Ensures responses are consistent and in compliance with agency policies. Reviews all outgoing communications to ensure consistency with the Department’s administrative policies and procedures. Prepares and/or proofreads PowerPoint presentations, reports, and spreadsheets. Reviews documents and presentations for the Deputy Director/CFO for accuracy. Acts as a liaison to areas internal and external to the agency on behalf of the Deputy Director of Finance/CFO. Performs administrative functions for the Deputy Director/CFO including logging, proofing, formatting, making copies, tracking, researching and other general office functions. Coordinates all documents that require signature of the Deputy Director/CFO and ensures timely submission of these documents. Receives and routes FOIAs to appropriate staff following up to ensure deadline is met. While this position does not have programmatic responsibilities, it does have the responsibility of understanding the program organization and the appropriate contacts in each area. Maintains office supplies, equipment, and furniture needs for the Deputy Director/CFO and staff in the Finance Division, including preparation and coordination of any necessary requisitions. Completes Goods Receipts for items ordered and/or contract invoices. Monitors purchases made using purchasing cards. Arranges travel for assigned staff and others as directed by the Deputy Director/CFO. Maintains employee engagement for all areas that report to the Deputy Director/CFO through scheduling and planning employee events and activities.
Maintains calendar of employee leave and approves leave on behalf of the Deputy Director/CFO.
Acts as part of the Executive Administrative Team, partnering with other Deputy Director administrative support staff and the Executive Team.

Minimum and Additional Requirements
A high school diploma and five (5) years of relevant experience in business management, public administration, or administrative services.
A bachelor’s degree may be substituted for the required work experience. Bachelor’s degree must be from a higher education institution recognized by the U.S. Department of Education & Council for Higher Education Accreditation (CHEA).
Additional Requirements
Sitting or standing for long periods of time.
Valid driver’s license.
Requires holder to drive routinely.
Lifting requirements: 20 lbs.

Ability to maintain confidentiality of sensitive financial and personnel information. Ability to exercise sound judgement. Maintains a professional demeanor and is customer services oriented.
