Full Job Description Summary:
The Administrative Support Coordinator plays a critical role in supporting the Museum’s leadership team across various departments. This position contributes to the operational efficiency and growth of the Museum by assisting with board-related schedules, document tracking, human resources functions, donor engagement, and general administrative duties. The ideal candidate will be organized, proactive, and able to handle multiple tasks efficiently in a dynamic and mission-driven environment.
Work Schedule and Conditions:
Regular schedule of 40 hours per week in an office and museum environment. Must be able to work a flexible schedule including evenings, weekends, and holiday shifts.
Primary Responsibilities and Duties:
Assisting the CEO with scheduling and coordinating board meetings and related activities. Tracking and maintaining important board documents, including agendas, meeting minutes, and reports. Ensuring timely distribution of materials to board members and providing support during meetings. Assisting with the hiring process by scheduling interviews, conducting background and reference checks, and facilitating new hire orientations. Maintaining accurate and up-to-date employee records. Serving as the main user of the Museum’s donor database; ensure all information within the system is accurate, consistent, and useful. Coordinating donor recognition efforts, making sure thank you letters are signed and sent promptly. Supporting special events, particularly those with a connection to Development, ensuring appropriate sponsorship recognition before and at each event. Cultivating donor relationships through regular communication and outreach efforts. Performing other duties as assigned in support of the museum’s activities.
Knowledge, Skills, and Abilities:
High school diploma required; associate or bachelor’s degree preferred. Minimum 2 years of administrative experience, preferably in a nonprofit or museum setting. Excellent organizational skills and attention to detail. Strong written and verbal communication skills. Proficient in Microsoft Office Suite and experience with database management software. Ability to maintain confidentiality and exercise discretion. Strong time management skills and the ability to prioritize multiple tasks. A positive, proactive attitude and a willingness to assist across departments as needed.
