Billing Specialist 3.3 3.3 out of 5 stars 1 Saint Louis St Ste 5000, Mobile, AL 36602 The Billing Specialist is responsible for supporting billing, invoicing, training, and general administrative functions within the MACS Transportation Division under the direction of the Billing & Administrative Coordinator. This role includes a range of duties such as invoicing, account reconciliation, administrative support, cost oversight, and assisting with training of staff, ensuring smooth and efficient financial operations within the division. The Billing Specialist is also tasked with maintaining excellent customer service and providing accurate and timely financial documentation for internal and external stakeholders. Specific Essential Job Duties Utilize accounting software to identify outstanding accounts, generate bills, and prepare invoices for customer accounts. Deliver invoices to clients through digital and traditional mail channels in a timely manner. Generate and distribute monthly and quarterly billing reports for management and clients. Train, guide, and provide ongoing support to staff to ensure effective execution of billing-related tasks. Demonstrate proficiency in office equipment use, including but not limited to phone systems, fax machines, copiers, scanners, computers, accounting software and systems and calculators. Assist with the creation, maintenance, and organization of filing systems and databases, ensuring all records are up to date and easily accessible. Provide high-level customer service, addressing billing inquiries with patience, clarity, and a thorough understanding of the division’s services. Communicate effectively with internal teams, external clients, and management to resolve billing-related issues and ensure accurate financial processing. Prepare and submit detailed reports on billing activities, financial reconciliations, and account status updates for management review. Input costs and track job profitability. Ensure that all billing activities comply with company policies, industry regulations, and customer agreements. Abide by company HSEQ policies and procedures. All other duties assigned. Qualifications & Requirements High school diploma or GED required. Additional college courses in business management, accounting, or related fields is highly desirable. Minimum of three to five (3-5) years of experience in billing, accounting, or related financial roles. Demonstrated expertise in managing invoices, billing processes, and financial reconciliations is highly preferred. Exceptional organizational skills with the ability to prioritize and handle multiple tasks in a fast-paced environment. Proficient in Microsoft Office Suite (Outlook, Excel, Word), with the ability to leverage Excel for financial reporting and analysis. Strong data collection, entry, and management skills, with experience maintaining filing systems and databases. Strong written and verbal skills to communicate with all levels of the organization. Strong customer service orientation. Excellent problem-solving abilities, with a detail-oriented and methodical approach to billing processes and financial tasks. Ability to type and talk simultaneously, with excellent phone and email communication skills.
