SUMMARY:

The staff assistant for Judicial Collections assists in the collection of delinquent fines, victim restitution and other payments among various offices according to established statutory and regulatory procedures. In addition, he/she compiles and maintains records and provides support for all office activities in a professional and positive manner by performing the following duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES

include the following. Other duties may be assigned. 1. Assists in all aspects of collecting delinquent fees, fines, victim restitution and other court ordered costs from criminal defendants. This includes utilizing the Circuit Clerk’s payment collection software: tracking amounts owed, payment history, and pursuing collection efforts through mail and communications with Probation and Parole Officers. 2. Has frequent contact with victims, other agencies, and criminal defendants providing information as requested regarding ledger balance(s). Provides defendants with remittance options for payment due as ordered by the Court. 3. Operates computer keyboard to retrieve data establishing defendant’s criminal status and updating current information into office data program case file and/or notes regarding Judicial Collections. Will utilize other systems necessary for job such as JusticeXchange, TLO, and probation software. 4. Operates office machines such as keyboard, printer, copying and scanning documents as needed. 5. Opens daily incoming mail, answers correspondence, and prepares outgoing mail. 6. Prepare and print letters to defendants advising arrears and current balances of case(s) owed for fees, fines, and victim restitution; and copying appropriate Probation and/or Parole Officers advising payment history, arrears, and balance(s). Copy letter into case file and update contact information. 7. Obtain death certificates from Arkansas funeral homes and/or verification of death from State Records Office to proceed with preparing Orders to Dismiss fees/fines/victim restitution. Copies into defendant case file(s) to update record(s). 8. For out-of-state death certificates, prepare Subpoena Duces Tecum for deputy prosecutor signature, and complete steps for submission for that state. 9. After receiving death certificates, prepare Order to Dismiss Fee/Fines/Restitution for intake deputy prosecutor which is submitted to the specific Division Judge to clear remaining balance(s). 10. Work closely with Circuit Clerk’s Office for clarification of Sentencing Orders and archived Judgment and Disposition documents. 11. Provide Probation and Parole officers with defendant’s ledger as requested and to establish payment history in preparation of Probation Revocations.

EXPERIENCE

High School diploma or equivalent, excellent phone skills, and efficient in Microsoft Word and Outlook. Associate’s degree in business or related field is preferred. Must be able to effectively communicate with a wide variety of people. Must be able to assess, evaluate, and respond to problems. Knowledge of legal terminology and processes is helpful but not required.

WORKING RELATIONSHIPS

Must be able to maintain helpful and professional relationships with Public Defenders, victims, attorneys, Probation and Parole Officers, other office staff, etc. whether by phone or in person.
