Billing Clerk 3.9 3.9 out of 5 stars West Memphis, AR 72301 We are looking for a meticulous and organized Billing Clerk to join our team in West Memphis, Arkansas. This position involves managing invoicing processes, maintaining financial records, and ensuring compliance with industry regulations in a dynamic fuel distribution environment. The ideal candidate will excel in accuracy, communication, and teamwork to support seamless billing operations.
Responsibilities:
Prepare and issue invoices for fuel deliveries on daily, weekly, and monthly schedules using dispatch and accounting systems. Validate delivery tickets, bills of lading, and meter readings to ensure precise billing calculations. Input pricing details, including fuel rates, applicable taxes, surcharges, and delivery zone adjustments. Collaborate with dispatchers, facility managers, and drivers to confirm delivery details and resolve any discrepancies. Review customer contracts and pricing agreements to ensure invoicing aligns with agreed terms. Address customer inquiries regarding billing and provide supporting documentation as needed. Maintain accurate physical and digital records to support auditing and compliance requirements. Reconcile billing reports and prepare summaries to assist with month-end closing procedures. Ensure adherence to federal and state fuel tax regulations and reporting obligations. High school diploma or equivalent; an associate degree in accounting, business, or related field is preferred. At least 1-2 years of experience in billing or accounting, preferably within transportation, logistics, or fuel distribution industries. Familiarity with billing practices and tax structures specific to the fuel industry is a plus. Proficiency in accounting and dispatch software such as QuickBooks, FuelMaster, or similar systems. Strong skills in Microsoft Excel and Word. Exceptional attention to detail and organizational abilities, with the capacity to manage multiple tasks effectively. Excellent communication skills combined with a customer-focused approach. Ability to work both independently and collaboratively within a deadline-driven environment.
