YEARS OF EXPERIENCE IN OFFICE. MUST BE 21 YEARS OF AGE, OWN A VEHICLE, HAVE A VALID DRIVERS LICENSE AND PROOF OF LIABILITYINSURANCE. MUST SUBMIT TO AND PASS ADULT MALTREATMENT AND CHILD ABUSE REGISTRY, CRIMINAL RECORD, PRE-EMPLOYMENT AND RANDOM DRUG SCREENSINGS. DUTIES AND RESPONSIBILITIES
I. Perform office support duties such as serving as receptionist and the on- site office manager, distributing inter-office mail, responding to correspondence and requests fot information. Type staff correspondence and reports, run errands answer phone and relay messages. Mail critical information to the Admin. Office. II. Collect employee leave records and all personnel documents to ensure all required information is kept and forwarded to the Administration Office. Also keep receipts for expenditures from Petty Cash account and forward to Administration office regularly. Complete Petty Cash account report. III. Keep inventory of office supplies and advise the CFO when supplies are needed. IV. Take applications for vacant positions. Keep a supply application packets for vacant positions and forward to Admin. Office. V. Maintain records of weekly van log and inspection sheets. Run totals and correct travel claims of staff. Maintain postage and petty cash record. VI. Assist staff with opening casefiles. Print out of all monthly grids for staff. Be the keeper of the client records in the satellite office. Keep filing system organized and current. Assist Billing Clerk with entering data into the billing database for clients in the satellite office and do billing reports. Keep the DYS Rite Track Data Base system updated with agency information and pull reports monthly for the supervisor & Administration. Responsible for knowing how to perform the Billing functions and serve as back-up in the Billing Clerk’s absence. VII. Perform other related duties as assigned by the Field Office Program Director, CFO or the CEO. Keep the Field Office Program Director advised of all activities related to the office and covering the office. VIII. Collect and enter data for Quality Assurance, Performance Quality Improvement and Risk Prevention Management efforts assisting the Director of Development, Contracting and Compliance reporting in compiling and measuring progress for the agency in these areas. IX. Directly accountable to the Chief Financial Officer an/or the Field Office Program Director for day to day accountability.
