MDBC Administrator/Comptroller Description:

position is multifaceted including responsibilities associated with receptionist, secretarial, bookkeeping, administration, title clerk and customer relations management. This position involves administrative aspects such as managing accounts payable, accounts receivable, storage and rental business records. Reception

Job duties and responsibilities include:
  • Answering Phones
  • quickly and in a friendly, courteous manner. Directing callers to the appropriate people and/or department, taking and delivering messages as needed.

  • Backbone of any well-run business is its ability to retrieve and disseminate information to departments, staff members, and outside business partners quickly and efficiently.
  • Retrieve and distribute mail
  • deliver to the proper departments and/or personnel.
  • Ensure all mail makes it out in a timely manner. (Same day)
  • Compose and distribute emails to various staff members, customers, business partners.
  • Filing all business records in a timely, orderly manner ensuring quick location and retrieval as necessary.
  • Printing various reports from our database or outside business partners as needed.
  • Complete daily closure procedures (end day)
  • Entry and updating customer files in the database to ensure accurate contact, billing, mailing, and emailing information is maintained. Bookkeeping
  • Timely and accurate receiving, posting and verification of financial transactions. To maintain and develop accurate accounting practices and procedures for maximum profitability and cost-efficiencies while supervising all accounting functions.
Accounts Receivable:
  • Customer payment entry in database and bank deposit records received by cash, check, or credit card.
  • Entering payments from rental reservations (Stripe/FareHarbor)
  • Daily bank deposits as needed.
  • Monitoring accounts receivable monthly, initiating collection reminders, procedures when needed.
  • Compose and send customer related correspondence as required.
Accounts Payable:
  • Entering vendor purchase orders, invoices and credit memos as received.
  • Monthly statement processing for payment.
  • Corresponding with suppliers/vendors discrepancies.
  • Manages Co-op. (manufacturer)
  • Prepares checks for signature, distributes funds and files supporting Documents.
  • Preparation and payment of state sales and other taxes monthly.
Internal Accounting:
  • Supervises the coding of all expenses requiring explanation.
  • Closes accounting periods on a monthly basis.
  • Prepares monthly and other periodic comparison of sales, expenses and profit by department.
  • Biweekly payroll processing.
  • Update, design, implement and integrate accounting practices, policies and procedures for all departments.
  • Reconcile monthly bank statements.
  • Storage Business Administration & Outreach
  • Manage storage customer acquisition and departures maintaining a 100% fill rate monthly .
  • Checking-in/ On boarding all new storage customers completing all paperwork, collecting documents and payments.
  • Registering the receipt of customer 30 day departure notices and beginning the process of bringing in the next customer.
  • Manage and update storage waitlist as needed.
  • Rental Business Administration
  • Overseeing collection and distribution of rental revenue from point of collection, posting to customer account, reconciling accounts and balances.
  • Processing payments from the reservation processor and posting to customer account.
  • Understanding the rental reservation process. Assist rental customers with booking, rescheduling, canceling reservations.
  • Understanding the rental check-in process. Assist with rental customer check-in when needed.
  • Title/Registration Processing
  • Assist sales department as needed completing, perfecting, and processing new and pre-owned boat and trailer title transfer and registration paperwork.
  • Preparing title/registration work.
  • Take title work to and from the Tax office.
  • Ensure titlework/registration has been processed properly, make copies to add to the sale file.
  • Ensure completed title work/registration is placed on the customer’s boat if stored here, or mail to the customer.
  • Inventory
  • Ensuring select shipstore items are stocked and properly noted, along with office supplies and soda vending machine.
  • Oversee select items in the shipstore are properly stocked on a weekly basis. These items include towels, shirts, sunscreen, chapstick, sunglasses, phone cases, and ponchos.
  • Oversee soda vending machine inventory on a bi-weekly basis, ensuring the product is stocked and checking expirations. Order as necessary.
  • Ensure physical inventory matches the amount in our system.
  • Order necessary office supplies as needed. Position reports to the general manager and is considered part of the business leadership team with direct accountability for the operation of the storage business unit, especially revenue generation. Work schedule is Wednesday thru Sunday 8 AM to 5PM with a one-hour lunch break. Compensation
