Summary:

We managed Condominiums and Homeowners Associations. We assist community Board members with the daily operations of the Association. We are looking for friendly, detailed, conscientious person to join our management group. We have a good working environment and we provide opportunities for personal development. This position provides a variety of administrative services. It performs administrative work and general business operations of the associations along with the property manager. Offer solutions to customers and follows up on their concerns. Ensures that the telephone, emails and messages are always answered in a timely manner. Demonstrates effective communication skills.

Duties:

• Bilingual – English/Spanish. This is a most since all communities have English and Spanish speaking individuals.

Position:

Accounting Assistant (Collections) Responsible for keeping owners’ accounts updated, sending appropriate notifications regarding outstanding balances, and efficiently managing the collection process.

Responsibilities:

Continuously monitor the outstanding balances in accounts receivable. Draft and send notification letters to owners with details about outstanding balances. Respond to owners’ inquiries via email and phone, explaining the breakdown of pending balances, and addressing disputes by providing detailed information about unpaid charges such as maintenance fees, special assessments, late fees, and administrative collection fees, as applicable to each case. Verify the correct application of payments in the accounting system. Confirm received payments by sending the updated account ledger to the owner. Follow up on the expiration of grace periods to ensure timely payment completion for each property. Establish payment plans when appropriate, subject to prior evaluation and approval on a case-by-case basis. Prepare the documentation package to transfer the case to the association’s collection attorney if payment deadlines are not met. Prepare updated reports on the status of the collection process for each condominium to be presented to the Board.

Required Skills:

Verbal and written communication skills in English and Spanish (Required). Proficiency in Microsoft Office (Excel, Word) (Required). Proactivity and ability to take initiative. Strong organizational skills and ability to manage multiple tasks simultaneously. Effective and respectful negotiation skills. Basic accounting knowledge. Ability to work under pressure and meet strict deadlines. Some of the administrative tasks are: Answers and screens manager’s telephone calls Receive & process purchase and rental applications. Coordinates manager schedule and make appointments for vendors Assists manager with special projects Information packages for Board Approvals Process lockbox & manual payments and past due letters Resident monthly newsletters Process violation letters Make updates to owners account when requested Preparation of meetings like regular Board & Annual meeting mailings Assist the company in marketing activities and following up on new association leads. Other duties may be assigned as needed
